ACCOUNTING CLERK Job Type: Part-time
Pay: $29.00 - $35.00 per hour
ABOUT US: Translational Sciences Inc. is a successful 18 yr. old bioresearch firm started by Harvard physicians/scientists. We have several novel cardiovascular, stroke and pulmonary embolism monoclonal antibody drugs in development. We are completing Phase 2 on antibody for treatment of pulmonary embolism, and Phase 1 for treatment of stroke.
ROLE & RESPONSIBILITIES
This is a part time, hybrid position requiring 10-20 hrs per week.PRIMARY RESPONSIBILITY The Accounting Clerk will be responsible for government grant accounts payable, issuing payments for approved invoices, grant draws, bank reconciliations and grant financial management in conjunction with our company CPA Firm and company CFO
DETAILED DESCRIPTION
NIH Grant Financial Administration
- Ensure the integrity of accounting information and adherence to NIH guidelines and policies.
- Maintain up-to-date knowledge on the company NIH grants, ensure implementation of best practices.
- Monthly NIH invoice processing and submission via online Payment Management System (PMS).
- Update and track NIH Grant Budgets and Expenses.
- Submit annual and final Financial Reports (FFR) of grant expenditures.
- Reconcile and perform grant closeout functions required by NIH.
- Support government grant and contract submission: maintain appropriate roles on NIH, eRA Commons, StrokeNet, and grants.gov; review the R&R budget compliance with the NIH Funding Awards. Assist in pre and post-award grant processes.
- Prepare samples/resources needed for annual A-133 audit as directed by CPA Firm.
Accounting/Finance
- Manage Quickbooks Online.
- Manage Company Accounting calendar to ensure all key due dates are calendared with alerts.
- Prepare and maintain updated cash flow budgets and forecasts for Company leadership. Regularly review cash balances available for payroll and vendor payments to maintain positive cash flow and prevent overdrafts.
- Accounts Payable (AP). Prepare and maintain updated AP schedule to manage cash flow.
- Bank reconciliations . Currently, 5 active bank accounts. Minor credit card account reconciliation.
- Assist CPA Firm with financial records preparation and their general ledger reconciliation and adjustments. Reconcile and monthly close financial records for preparation of monthly Customer Accounts Payable (NIH), and for annual submission to CPA tax accountant. Month End and Year End close.
- Oversee payroll tax provider’s documents and business records with State of Arizona and New York.
- Proof and mail out annual processing of 1099 and W-2 tax statements to employees, and possible Arizona Sales Tax return.
- Interface with the Company CPA Firm to prepare documentation for business tax filing.
HR/Payroll
- Process monthly payroll for 5-7 employees on automated payroll system. This includes new employee setup and on-time processing of payroll, (1 pay period per month) using Quickbooks.
- New hire paperwork processing - if needed.
- Maintain compliance with Arizona, New York and Federal labor and employment laws
QUALIFICATIONS / REQUIREMENTS
- At least 2 years of relevant grant accounting experience (NIH or similar). Familiarity with fund-based accounting systems preferred.
- Proficiency in QuickBooks and Excel.
- General understanding of full cycle accounting.
- Excellent oral & written communication skills.
- References from two managers or supervisors.
- Resume.
