The Service Administrator plays a crucial role in our automotive repair facility, serving as the main point of contact between customers and the service department. This position is responsible for managing service appointments, ensuring efficient workflow, handling customer inquiries, and maintaining accurate records. Key Responsibilities
- Customer Service:
- Greet customers and assist with inquiries in person, over the phone, and via email.
- Schedule service appointments and coordinate with the service team to ensure timely repairs.
- Provide customers with detailed information about services, repair timelines, and costs.
- Administrative Tasks:
- Create and manage repair orders, work orders, and invoices.
- Maintain accurate records of customer interactions, vehicle service history, and parts inventory.
- Process payments and manage billing procedures, including handling warranty claims.
- Coordinate with suppliers to order parts and ensure timely delivery.
- Workflow Management:
- Assist the service manager in prioritizing work orders and scheduling technician tasks.
- Monitor the progress of repairs and keep customers informed of any updates or delays.
- Ensure that all completed repairs meet quality standards and customer expectations.
- Support Functions:
- Maintain the cleanliness and organization of the service desk area.
- Provide administrative support to the service team as needed.
Qualifications
- High school diploma or equivalent (Associate degree or related certification preferred).
- Previous experience in a customer service or administrative role, preferably within the automotive industry.
- Knowledge of automotive services and basic vehicle components is a plus.
- Proficiency in computer systems, including Microsoft Office and automotive service software (e.g., Mitchell1, AutoServe1, or similar).
- Strong organizational and multitasking skills with attention to detail.
- Excellent communication and interpersonal skills.
- Ability to handle a fast-paced environment and remain calm under pressure.
