Duties Description As an Office Assistant 1 for the Region 1 Traffic Safety & Mobility Group responsibilities include but are not limited to: • Answering telephones and appropriately responding to or referring inquiries made by the public, employees, vendors, and customers,• Sorting and distributing mail,• Maintaining records and files,• Scan invoices received into the Statewide Financial System (SFS),• Schedule appointments/meetings as necessary and entering visitor information into the Visitor Management System,• Apply a working knowledge in all Microsoft Office products, specifically, Outlook, Word and Excel,• Order office supplies for the Traffic Safety office,• Assist Traffic System Technician staff in Waterford up to 2 days per month or as needed with data entry• Serve as an IT Requestor for Region 1 Traffic,• Prepare routine correspondence related to speed limit reduction requests, traffic signal requests and general concerns regarding the safety of state highways within the Region,• Provide assistance to the Program Aide which may include Personnel, Purchasing, and Training related activities such as: o Tracking, filing, and maintain Highway Work Permit fileso Reconcile p-card transactions for office related purchaseso Assist with SFS monitoring of eSettlements invoices as well as Match Exception invoiceso Distribute and track training related information for office staffo Assist with tracking of evaluations/probation reports for Region 1 Traffic Safety & Mobility employeeso Assist with Personnel & Hiring tasks, including setting up interviews• Perform other office support duties as required.Responsibilities may include serving a role within the Incident Command System to support the department’s response to regional and statewide emergency situations.

Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State.
