What are the responsibilities and job description for the Transportation - Field Trip Coordinator position at TRANSPORTATION?
Position Summary:
This position is responsible for coordinating and supporting field trips, vehicle usage, and related administrative functions within the Transportation Department. The role requires a high level of organization, communication, and technical proficiency to manage logistics and ensure smooth operations.
Key Responsibilities:
- Coordinate all aspects of field trips, including:
? Processing requests and assigning drivers/buses.
? Maintaining accurate records and timely billing.
? Processing payments related to trip requests.
- Maintain scheduling and accountability for all Special Purpose Vehicles (SPV) and Administration Vehicles.
- Manage E-Z Pass toll kits and ensure accurate tracking.
- Train district staff on using the Field Trip Program.
- Process field trip hours and close out trip tickets efficiently.
- Enter Trip Tickets for driver payroll to ensure prompt processing.
- Assist with dispatching buses for routes, trips, shuttles, and extracurricular activities.
- Address and resolve student and parent concerns via phone or email.
- Utilize Microsoft Office, Google Workspace, and other software tools as required.
- Assist the Office Manager in preparing required state reports.
- Schedule and occasionally conduct SPV training for district staff when trainers are unavailable.
- Perform other duties as assigned by the Director of Transportation.
Qualifications:
- Education: High school diploma or GED required.
- Minimum of 2 years experience in school transportation or a demonstrated understanding of transportation operations.
- Licensing: Must hold a valid CDL with P, S, and AB endorsements, or be willing to complete necessary training
- Ability to maintain a high level of confidentiality.
- Skilled in operating office equipment (e.g., copy machines, tablets, phone systems, and 2-way radios).
- Strong, assertivecommunication skills to manage frequent changes in scheduling.
- Able to work accurately and efficiently in a fast-paced environment with frequent interruptions.
- Clear verbal communication skills, especially over a 2-way radio.
- Effective communicator with parents, school staff, and transportation employees while managing multiple tasks.
- Team-oriented with a positive attitude and strong interpersonal communication abilities.
- Ability to read and interpret safety rules, operating instructions, and procedural manuals.
- Strong computer literacy with the ability to learn and use software systems within the Transportation Department
