Job Summary
We are seeking an experienced and detail-oriented Accounting Assistant to oversee all aspects of accounting for our travel agency in the greater Kenosha area. This position will be responsible for managing the company’s financial processes, including the ARC (Airline Reporting Corporation) system, TRAMS (travel management system), accounts receivable (AR), and accounts payable (AP). The Accounting Assistant will ensure accurate and timely financial reporting, compliance with industry regulations, and maintain the integrity of financial data. Please note, this position does not handle payroll functions.
Responsibilities of an Accounting Assistant
- Manage and oversee accounts receivable (AR) and accounts payable (AP).
- Maintain accurate records of transactions within the ARC and TRAMS systems, ensuring compliance with industry standards and internal policies.
- Prepare and analyze AR reports to track aging balances and resolve any discrepancies.
- Oversee the timely and accurate processing of vendor invoices.
- Ensure proper coding and approval of payments.
- Reconcile vendor accounts and resolve any issues related to payments or disputes.
- Manage the integration and accuracy of accounting data in the ARC and TRAMS systems.
- Prepare monthly, quarterly, and annual financial statements and reports.
- Provide analysis of financial data to senior management and assist with budgeting and forecasting.
- Ensure compliance with all applicable laws, industry regulations, and internal controls related to accounting functions.
- Assist with external audits and ensure all documentation is in order.
Qualifications of an Accounting Assistant
- Minimum of 5 years of accounting experience, preferably in the travel industry.
- Strong knowledge and experience with the ARC system and TRAMS software.
- In-depth knowledge of accounts receivable and accounts payable processes.
- Excellent organizational skills and attention to detail.
- Strong communication skills with the ability to work cross-functionally and resolve issues.
- Ability to analyze financial data and generate reports.
- Proficient in accounting software and Microsoft Excel (advanced skills preferred).
