The Billing / Collections Specialist is responsible for analyzing accounts receivable transactions and ensuring compliance with Generally Accepted Accounting Principles (GAAP) and all internally established standard operating procedures (SOPs), maintaining and reconciling accounts receivable ledger, and ensuring accurate and timely receipts of payments. This position is required to work in conjunction with the billing specialists, collections specialists, and the accounting management team to identify trends, inefficiencies, delinquent accounts, and opportunities for improvements to accounts receivable policies and procedures.

General Duties / Responsibilities :

  • Track the status of each assigned account through the utilization and cross-referencing of internal systems.
  • Review vendor account contracts to verify financial agreements' terms and conditions.
  • Contact representatives to verify the accuracy of account information in support of the billing procedures.
  • Contact representatives to gather payment status updates and collect outstanding payments.
  • Enter key data of financial transactions daily into databases and spreadsheets.
  • Accept payments over the phone in order to reconcile customer accounts in a timely manner.
  • Provide accounting assistance and training support to other department team members.
  • Maintain correspondence records, either via phone or email outreach.
  • Function in accordance with established standards and procedures.
  • Perform all daily duties as assigned by Supervisor(s).

Required Skills / Abilities :

  • Basic understanding of clerical and administrative procedures.
  • Excellent written and verbal communication skills.
  • Excellent attention to detail.
  • Excellent organizational and time management skills.
  • Ability to solve problems as they arise and maintain confidentiality.
  • Proficient in Microsoft Office Suite or similar software, such as QuickBooks – Desktop.
  • Familiarity with basic bookkeeping procedures and financial transaction requirements.
  • Education and Experience :

  • High school diploma or equivalent required; Associate’s degree or higher preferred.
  • 1-3 years prior billing or collections experience required; 5-7 years prior experience preferred.
  • Physical Requirements :

  • Prolonged periods sitting at a desk and working on a computer.
  • Must see in normal visual range, with or without correction.
  • Must hear in the normal audio range, with or without correction.
  • Must be able to handle stressful situations and maintain strong mental acuity.
  • Must be able to adequately move around the office setting, with or without correction.

    Monday - Thursday : 9 a.m. - 5 : 30 p.m.

    Fridays : 9 a.m. - 5 p.m.

    40 hours / week (mandatory, in office position)
