Job Description
The HCP Process & Systems Manager is responsible for supporting Treace interactions with healthcare professionals (HCPs) by overseeing and managing processes related to interactions with healthcare professionals, ensuring compliance with applicable regulations, and optimizing operational workflows to align with the company’s key objectives and Medical Education program goals.
PRIMARY DUTIES AND RESPONSIBILITIES:
- Serve as primary point of contact for creation and management of HCP engagements for Marketing and R&D labs.
- Organize HCP engagement-related databases and ensure proper compliance documentation is in place to support all HCP engagement activities.
- Work cross-functionally to define and adhere to processes to ensure efficient, compliant execution of medical education and other HCP-related programs.
- Oversee the HCP expense report and reimbursement process to ensure accuracy and compliance to company-established guidelines.
- Ensure adherence to all legal and ethical guidelines governing HCP interactions, such as Stark Law or the Anti-Kickback Statute.
- Obtain necessary documentation for processing HCP expense reports; Maintain accurate documentation to support transparency and compliance.
- Develop, implement, and refine processes to improve efficiency in HCP-related workflows.
- Partner with internal teams, such as marketing, clinical affairs, or sales, to ensure alignment on key business processes.
- Maintain Med Ed systems data to ensure accuracy and integrity of data; provide reporting and analytics to support department process and efficiencies.
- Concur travel booking for attendees – receipts will flow to ghost card to be reconcile
- Assist in event planning and logistical support for surgeon training (Medical Education) events, including scheduling travel arrangements. Use data to identify improvements or address challenges in executing programs.
- Track Management Compliance Committee approvals and communicate to all parties
- Other duties as assigned
Qualifications
- Bachelor’s degree in sciences or related field strongly preferred; in lieu of degree, HS Diploma plus minimum of 7 years Medical Education, event planning, or project coordination experience required
- Minimum of 5 years of combined Professional Education program/event management, Sales & Marketing or project management experience required
- Experience with event planning and HCP admin software including CVENT, MedCompli, or similar required.
- Experience collaborating with external vendors and partners required
- Availability for domestic travel (25-40% of the time) to support engagements
- Previous medical device experience in the Orthopedic/Foot & Ankle market space preferred
