A Document Control Specialist is responsible for managing and maintaining an organization's documents by ensuring their accuracy, accessibility, and compliance with company standards, including creating and enforcing document control procedures, tracking document revisions, storing files electronically, and archiving documents as needed, all while upholding proper document retention policies, requiring strong attention to detail and organizational skills.
Essential Duties & Responsibilities
· Managing the electronic document management system, including user access control, document routing, and system updates.
· Reviewing and approving new documents, ensuring proper formatting and content, and distributing them to relevant stakeholders.
· Tracking document changes, managing version control, and updating documents with new revisions.
· Organizing and storing physical and digital documents according to established filing systems and retention policies.
· Ensuring compliance with regulatory requirements regarding document control and retention.
· Responding to requests for documents from internal and external parties.
· Performing quality checks on documents to ensure accuracy and completeness.
· Generating reports on document usage and activity to identify potential issues.
· Other duties as assigned
Education & Experience
· Experience in Document management position
· Bachelors Degree or High school diploma plus experience
· Strong organizational skills: Ability to manage large volumes of documents with a systematic approach.
· Attention to detail: Meticulous focus on accuracy and consistency in documents.
· Technical proficiency: Familiarity with document management systems and software.
· Communication skills: Effective communication with various stakeholders to clarify document needs and address concerns.
· Compliance knowledge: Understanding of relevant industry regulations and document control standards.
Job Type: Full-time
Pay: $85,000.00 - $95,000.00 per year
