Job Summary

We are seeking an experienced and detail-oriented Proposal & Bid Management Lead to drive our end-to-end RFP and bid management processes. This role will be instrumental in ensuring the timely, high-quality submission of proposals that align with Trellint’s strategic objectives. The ideal candidate will be a strong project manager, capable of coordinating cross-functional teams to develop compelling, compliant, and competitive proposals. This is a remote-based position with limited, occasional travel.

In This Role, You Will

  • Manage the entire proposal development process, from initial bid assessment to final submission.
  • Analyze Request for Proposal (RFP) and Request for Information (RFI) requirements, ensuring all compliance and submission criteria are met.
  • Develop and maintain a structured bid management framework to streamline proposal execution.
  • Translate RFP and RFI requirements into a well-structured response document outline that ensures compliance and encourages compelling response-writing.
  • Facilitate and lead proposal kickoff meetings, ensuring all stakeholders understand roles, responsibilities, and deadlines.
  • Manage internal communications and coordination with sales, marketing, product, legal, and other relevant teams to gather the necessary inputs for proposals and ensure bid accuracy.
  • Establish and enforce proposal timelines, tracking progress to ensure deadlines are met without compromising quality.
  • Organize proposal reviews (Pink, Red, Gold) to identify and address compliance gaps and enhance proposal effectiveness.
  • Maintain organized records of all bid-related documents and correspondence.
  • Help maintain a centralized library of proposal content, templates, and best practices for efficiency and consistency.
  • Work closely with opportunity owner to refine value propositions and competitive differentiators in proposal narratives.
  • Identify and mitigate risks associated with bid processes, proactively addressing potential roadblocks.
  • Ensure all proposals are professionally written, formatted, and presented in a manner consistent with Trellint’s brand and strategic positioning.
  • Conduct post-award debriefs and lessons learned to refine processes and increase win probability.

Qualifications

  • A Bachelor's degree preferred in English, Communications, Business, or a related field, or equivalent work experience.
  • 3 years demonstrated experience managing and coordinating proposals of moderate to high complexity
  • Experience in leading proposal team members in the consistent use of processes and procedures
  • Ability to manage multiple and shifting priorities while meeting high quality standards in a fast-paced environment, supporting critical business development activities under tight deadlines
  • Expertise with Microsoft Office Suite including Word, Excel, PowerPoint, Adobe Acrobat Pro, and an awareness of Adobe InDesign.
  • Professional certifications in proposal writing and/or project management (e.g., APMP, PMP) are a plus.
