Description
JOB FUNCTION:
Responsible for coordinating and overseeing administrative duties within the office, and ensuring that the office operates efficiently and smoothly.
ESSENTIAL FUNCTIONS:
- Manages departmental operations and business functions including, but not limited to, scheduling, registration, billing, collection, and purchasing.
- Answers clients questions and concerns, monitors flow of clients within the office
- Responsible for maintaining data systems and client files within the office
- Prepares monthly reports on visits, new client volumes, and client demographics
- Creates and sustains a clean and organized environment
- Answer and initiate phone calls
- Coordinate and assist with meetings, as needed
- Track, coordinate, and when necessary, assist with planning training for staff
- Establishing and maintaining cooperative working relationships with clients, co-workers, professional staff, supervisors, and the general public
- Complete all other assigned duties and projects in a timely fashion
QUALIFICATIONS:
- Minimum of an Associates degree or equivalent. Bachelors degree preferred
- Excellent communication skills, leadership abilities, positive attitude, ability to multitask and organize
- Experience with Microsoft Office including Outlook, PowerPoint, Word, and Excel
- Previous experience with and knowledge of the billing process preferred
- Previous office experience (answering phones, interacting with customers, basic use of office equipment, etc.) required
- Previous experience working independently with a proven ability to manage assigned workload, deadlines, while using judgment to problem-solve with minimal direction
- Able to prioritize assignments to complete work in a timely manner
- Ability to perform in a work environment that is fast-paced and quickly changing
- Ability to work as part of a team and collaborate with colleagues
