Receptionist
Tri-Pac, Inc., a contract development, and manufacturing company (CDMO) specializing in liquid and aerosol filling for personal care and pharmaceutical marketers, is seeking a professional, friendly receptionist to represent our team and serve as the first point of contact for guests visiting our busy office. This position is integral to creating a positive and welcoming atmosphere for everyone who walks through the doors. Managing and Prioritizing customer communications while maintaining a high level of confidentiality, whether in person, by phone, or via email, is a crucial aspect of this role. The Receptionist at Tri-Pac is a multifaceted role that requires a blend of interpersonal skills, organizational abilities, and attention to detail. Key responsibilities for this person include greeting guests when they arrive on-site, explaining how to navigate our office, answering, and transferring phone calls and managing our incoming and outgoing mail. The position is in South Bend, Indiana.
Responsibilities:
- Answer and direct all phone calls and transfer to appropriate personnel.
- Greet and receive visitors and new hires, ensure proper sign-in.
- Manage, clean, and organize the front desk.
- Schedule meetings, client visits and prepare conference room for meetings and schedule appointments.
- Prepare handouts for meetings. Keep detailed meeting notes when necessary.
- Stock the copy rooms and organize office supplies.
- Collect and sort all mail and packages.
- Provide administrative support to all team members, as necessary.
- Answer guests' and employees' questions.
- Validate guest parking.
- Prepare Company announcement documents.
- Excellent attention to detail.
- Able to plan, prioritize, and organize daily responsibilities to meet deadlines.
- Excellent verbal and written communication skills
- Able to maintain a high level of confidentiality.
- Accurate typing/ data entry
- Experience supporting Executive level preferred.
- Able to handle multiple tasks and work in a fast-paced environment.
- High School Diploma or GED
- Strong Microsoft Skills (Excel, Word, PowerPoint & Outlook)
