Job Description Job Overview : The Product Sample Coordinator is responsible for managing the efficient ordering, preparation, and distribution of product samples to the internal sales team and select accounts as directed. This position plays a crucial role in ensuring timely sample delivery, maintaining accurate inventory records, and supporting the marketing and sales efforts of the company. The ideal candidate will be detail-oriented, possess strong organizational skills, and have a passion for the wine and spirits industry.Key Responsibilities : Sample Ordering & Distribution : Manage daily and weekly sample orders for Tri-State and National sales representatives via the Western system. Prepare and ship samples to National sales representatives and selected accounts as per leadership instructions. Coordinate monthly "POD" sample preparation for Tri-State sales reps.Inventory Management : Receive and log incoming samples in the inventory system (BC) daily, ensuring accuracy and timely updates. Maintain separate inventories with updated bin codes for shipping and pre-release samples. Process all sample and shipping transactions in BC to keep inventory up-to-date, ensuring accurate bin codes and stock levels.Logistics & Compliance : Ensure that all shipments meet company guidelines and comply with regulatory requirements. Coordinate and facilitate the inter- and intra-regional transfer of premium items as needed. Ensure that samples are properly packaged, labeled, and shipped to meet deadlines.Sales Team Coordination : Maintain up-to-date files on internal product availability, ensuring the sales team has accurate information on available samples and inventory. Assist in ensuring that sample wine & spirits shelves are fully stocked, organized, and clean in applicable settings.Administrative Support : Perform any additional duties as assigned, ensuring smooth operations within the sales and marketing departments.Required Knowledge, Skills, and Abilities : Coordination & Logistics : Ability to coordinate and physically manage merchandise transfers within and between regions.Product Knowledge : Extensive knowledge of wine and spirits, including premium products, trends, and sales team needs.Sales Support : Commitment to providing efficient and accurate support to the sales team, ensuring they have the resources needed for success.Communication : Strong communication skills, with the ability to guide and assist the sales team on product selection, operations, and inventory levels.Technical Skills : Proficiency in using inventory management systems, electronic data processing methods, and relevant software (e.g., BC, Microsoft Office).Detail-Oriented : Strong attention to detail, ensuring accuracy in inventory management, order fulfillment, and reporting.Self-Motivated : A self-starter with a proactive approach to meeting and exceeding expectations.Preferred Qualifications : 1-2 years of experience in logistics, inventory management, or sales support, preferably in the wine & spirits industry.Familiarity with Business Central, or similar inventory management systems.Experience in visual merchandising and / or specialty product management is a plus.#J-18808-Ljbffr
