Office Coordinator
8 am - 5 pm Monday-Friday, 40 hours/week, on-site

The Office Coordinator is essential for ensuring the daily smooth operation of office and administrative functions, presenting a professional image to the public and providing support to sales and marketing. This role involves handling accounts receivable, order entry, customer inquiries and various administrative tasks.
Essential Functions:
- Attendance: Demonstrates the ability to work the required hours of the position consistently; possesses a strong sense of responsibility and exceptional attendance record.
- Professional Communication: Serve as the first point of contact by providing exceptional attendance and on-site presence. Represent the company professionally via phone, in person and email. Handle customer inquiries and address requests to support the sales team.
- Order and Production Management: Enter orders, including purchase order and part numbers and coordinate with production scheduling to provide customers with shipping dates. Ensure accurate and timely processing of factory orders.
- Accounts Receivable: Manage customer payments, process deposits and handle collections. Provide weekly updates on accounts receivable status to the sales team.
- Administrative Support: Oversee office maintenance, manage mail and perform clerical tasks such as filing and scanning documents. Support marketing and sales efforts as needed.
- Database and Social Media Management: Maintain customer databases and mailing lists. Manage and update social media accounts with periodic posts.
- Project and Time Management: Effectively juggle multiple projects in a fast-paced environment. Communicate with all levels of staff and manage time to meet goals.
- Technical Skills: Utilize office equipment and software proficiently, and adhere to company policies and quality objectives.
- Flexibility and Additional Duties: Adjust work schedules as needed and perform other duties with a positive attitude.

Education/Certifications/Experience:
- Associate’s degree or equivalent experience.
- Minimum two years clerical or administrative experience.
- Typing skills with at least 50 WPM.
- Strong working knowledge of Microsoft Office software (Word, Outlook, Excel)
- Knowledge of general office machines and telephone system.
- Ability and willingness to work cooperatively with others.
- High degree of discretion dealing with confidential information.
