Job Description: Office Manager and Bookkeeper
Full-Time | Remote (Washington State)

Overview:
We are a specialized accounting firm exclusively serving nonprofit organizations. With over two decades of experience, we provide financial clarity, compliance, and strategic advice to nonprofit clients. We are seeking a highly organized and detail-oriented Office Manager and Bookkeeper to oversee internal office operations while supporting our accountants with external bookkeeping for nonprofit clients.

Key Responsibilities:

Office Management (Internal):

  • Manage internal operations, including schedules, team workflows, and technology platforms (ClickUp, SharePoint, Microsoft Teams).
  • Maintain internal policies, procedures, and operational documentation to support a streamlined workflow.
  • Serve as the primary point of contact for administrative issues, troubleshooting, and problem-solving.
  • Process firm payroll using Gusto.
  • Prepare monthly billing documents for review.

Client Bookkeeping Support (External):

  • Provide bookkeeping support to accountants working with nonprofit clients, including data entry, transaction categorization, reconciliations, and audit preparation using QuickBooks Online (QBO).
  • Maintain accurate and detailed financial records for client accounts, ensuring compliance and audit readiness.
  • Communicate with clients to gather documentation and resolve bookkeeping-related questions.
  • Support internal processes for new client onboarding

Qualifications:

  • Experience: 4 years in office management and bookkeeping, preferably with exposure to nonprofit financials.
  • Technical Expertise: QuickBooks Online (QBO), Gusto, ClickUp, and Microsoft Office Suite (Excel, SharePoint, Teams, Outlook), or similar
  • Soft Skills: Exceptional organizational, leadership, and communication skills.
  • Preferred Qualifications: Bookkeeping Certification, QuickBooks ProAdvisor Certification, or similar credentials.
  • Location: Must reside in Washington State.

Compensation and Benefits:

  • Hourly Rate: $30 - $35 per hour, commensurate with experience.
