Unit Secretary - ED FT Nights
This position has the responsibility of receiving patients in a courteous accommodating manner. The ED Unit Secretary is responsible for performing a combination of registration and clerical duties to include the following:
Registration/ Business Office Duties:
Secretary/Clerical Duties:
This position also has the responsibility of assisting nursing staff in the following secretarial and clerical functions:
Education: High School Diploma or Equivalent. Associates Degree Preferred.
Licensure/Certification/Registration: Certified Nurse Assistance (CNA) or Medical Assistance (MA) preferred but not required.
Experience: Experience with Computer/Data Entry; Medical Terminology preferred. Proven customer service skills. Able to work in a high volume/fast-paced environment. Ability to work with sensitive and confidential information. 1 - 2 years' experience in healthcare setting preferred.
Shift: Night Shift - Three/12-hour days - Sunday, Monday, Tuesday

Registration/ Business Office Duties:
- Register patient into the ED per Business Office protocols.
- Obtaining identifying information needed for any ED, In-patient, Observation and Swing-Bed admissions as well as other outpatient admissions.
- Obtaining the most up-to-date demographic information.
- Obtains necessary signatures, records, and all patient information regarding insurance as well as completing ER Logs.
- Responsible for collecting co-pay and payments when determined.
- Distributes Disproportionate Share Hospital Program (DSH) application to qualified patients and assist in completing application with patient and allocates appropriate paperwork to appropriate departments.
- Responsible for preparing Inpatient and Swing-Bed folders and ensuring that all required forms are accounted for.
- Responsible for generating down-time reports as assigned, such as daily census reports, Adhoc reports.
- Completing secondary duties such as Medicare Secondary Payer Questionnaires (MSP), completing Temps and monitoring Estates.
- Responsible for adding any needed registration supplies to requisition order in a timely manner.
- Update HAV Beds as required.
- Serves as backup for Switchboard and route incoming calls to appropriate personal or patients.
Secretary/Clerical Duties:
This position also has the responsibility of assisting nursing staff in the following secretarial and clerical functions:
- Assist in patient transfers including Air Evac, Life Flight, and ground transfers both scheduled and unscheduled.
- Accept phone calls related to transfers and document information/time on Transfer Checklist and EPD system and relay to nursing staff.
- Assist with form completion and making copies of forms during transfer of patients.
- Calling to request disc from Radiology Department during a transfer when needed.
- Responsible for working with nursing to setup counseling session via Ipad with Pennyrile Mental Health and ensuring Ipad is charged.
- Assist with setup of Cyracom Video Interpretation services when needed.
- Assists with answering phones and routing calls to referral hospitals as directed by the registered nursing staff.
- Direct family members to waiting areas and answer questions as appropriate.
- Overhead paging.
- Obtain supplies needed for patient care in the Emergency Department as assisted.
- Work with nursing to ensure the correct chief complaints is loaded in system for proper documentation.
- Ensure EMTALA and HIPAA guidelines are upheld within the ED.
- Other duties as assigned.
