Position Summary
Trillium is seeking a Private Events Coordinator to join our team! This role involves executing private events at our Fort Point, Canton, and Fenway locations, working closely with the Private Event Sales Manager to manage coordination, menu planning, and guest communications. The ideal candidate embodies the core principles of hospitality and is passionate about crafting memorable experiences.This position will report directly to the Marketing Manager. This role will be based at our Canton location, but require flexibility to be at other locations when needed.
- Execute private events from setup to breakdown, including processing payments and coordinating with the kitchen, staff, and event host.
- Manage event staff to ensure smooth and efficient event execution.
- Collaborate with back-of-house teams to maintain consistent food service during events.
- Train and educate staff on proper event procedures and service standards.
- Support revenue initiatives by assisting the management team with development, implementation, and execution strategies.
- Deliver exceptional guest experiences by maintaining the highest service standards.
- Perform general office tasks to support operations (e.g., filing, emailing, typing, faxing, and copying).
- Coordinate with the scheduling manager to ensure proper event staffing.
- Work cross-functionally with other departments to support pop-ups, collaborations, and large-scale Trillium events.
- Assist with lead management, guest communications, and event contracts as needed to achieve annual revenue goals.
Additional duties may be assigned as necessary.
Desired Qualifications & Abilities
Qualifications & Experience
- Minimum 2 years experience in hospitality or event management
- Portfolio of previously managed events (weddings, meetings, parties, corporate events)
Knowledge, Skills & Abilities
- Excellent personal, verbal, written communication
- Organized and efficient with great attention to detail
- Strong interpersonal staff relations and leadership skills
- Ability to remain calm under pressure and communicate clearly, with composure and enthusiasm, to customers and staff
- Willing to work a flexible weekend schedule (Friday-Sunday) including nights and holidays
- Excellent conflict resolution skills
- Move lift, carry, push, pull, and place objects weighing less than or equal to 25 pounds without assistance and objects weighing in excess of 50 pounds with assistance
- Extensive knowledge of computers, including Microsoft Office
- Ability to prioritize and handle multiple tasks with minimum supervision
- Ability to travel to other Trillium locations as needed
