GUEST SERVICES COORDINATOR
Part-time or Full-time, Non-exempt (hourly)
Reports to: Guest Services Director
Position Overview
The Guest Services Coordinator plays a key role in supporting the daily operations of Trinity Center’s retreat and conference facilities. Reporting to the Guest Services Director, this position serves as the primary point of contact for guests, providing administrative, operational, and service support to ensure a smooth and welcoming experience. The Coordinator works closely with other departments to anticipate guest needs and resolve issues promptly.
Primary Responsibilities
Guest Experience & Hospitality
- Greet group leaders upon arrival, review expectations, and report any changes to the Group Services Director.
- Assist guests with check-in/out, site familiarization, and special requests.
- Act as the face of Trinity Center during meals and events, providing a welcoming and helpful presence.
- Respond to guest inquiries and feedback, elevating issues to the Guest Services Director when necessary.
Administrative Support
- Prepare group materials (e.g., keys, maps, housing sheets, evaluation forms) for check-in.
- Monitor and update group worksheets to anticipate and address guest needs.
- Answer phones, address inquiries, and route calls as needed.
- Maintain inventory and presentation of Trinity Center merchandise.
- Share on-call phone duties with other staff members.
Facilities Coordination
- Ensure meeting spaces and AV equipment are set up and in working order.
- Conduct campus rounds to identify maintenance issues and report them promptly.
- Address minor maintenance issues (e.g., changing lightbulbs, unclogging toilets) as needed.
- Ensure proper closing of the campus at the end of shifts, following established procedures.
Food Service Coordination
- Act as liaison between guests and Food Service to accommodate dietary needs.
- Provide a welcoming introduction in the dining room for each group’s first meal.
- Coordinate coffee breaks, social events, and special meals with Food Service.
- Assist in monitoring food service areas during meal times.
Housekeeping Coordination
- Ensure guest accommodations and meeting spaces are clean and ready for use.
- Respond to minor housekeeping requests (e.g., providing fresh towels).
- Communicate housekeeping needs to staff and follow up to ensure resolution.
Key Qualifications
- Strong communication and customer service skills.
- Ability to remain calm and positive in a fast-paced environment.
- Strong organizational skills and attention to detail.
- Familiarity with hospitality software and Microsoft Office.
- Physical ability to lift 40 pounds unassisted and up to 60 pounds with assistance.
- Ability to work weekends, evenings, and holidays as needed.
- Understanding of the Episcopal Church its traditions, and values, with a commitment to creating a welcoming and inclusive hospitality environment.

Trinity Center is a self-supporting institution of the Episcopal Diocese of East Carolina whose mission is to provide hospitality for retreats, conferences and other gatherings to the people of the Diocese of East Carolina, other churches, and non-profit, public benefit groups. Our goal is to provide these services in a personal, relaxed but efficient way that enables guests to reach their goals for spiritual, personal, and organizational growth.
Working at Trinity Center is service oriented, and doing our jobs successfully is based on teamwork. Because of the wide-ranging nature of the tasks involved in caring for our guests and facilities, it may be necessary to perform tasks outside our usual line of work. For example: when on duty in the kitchen a guest may come in and ask where an extra blanket might be found; an office worker may be called to help when a guest finds a clogged toilet; a maintenance worker may need to help in the kitchen when a cook must leave due to illness. The flexibility to help in such situations in order to support our guests and the overall goals of the Center is a requirement of working at Trinity Center.
Job Types: Full-time, Part-time
Pay: $13.50 - $15.00 per hour
Expected hours: 8 – 24 per week
