About This Position
The Senior Procurement Manager, Distribution and Compliance will play a key role in ensuring the efficiency and cost-effectiveness of Trinity's food and disposable products distribution model. This key role involves analyzing distribution contracts, volume, cost of goods, item spend, and broadliner food and disposables distributor performance to identify cost-saving opportunities. The role will be responsible for maintaining an updated list of approved distributors by geographic location, aligning with Trinity's primary food Group Purchasing Organization (GPO) when and where applicable. The position will also oversee proprietary inventory levels at distributors, managed order guides (MOGs), and pricing compliance while supporting various teams in addressing distribution challenges. Leading and managing the food and disposables distribution network in Trinity for its client locations is a critical role in the Trinity procurement organization.
Essential Functions, Duties, and Responsibilities
- Lead and conduct new vendor RFPs and bids, ensuring the selection of cost-effective and reliable distributors that meet or exceed Trinity's service level requirements.
- Oversee the pricing, performance and managed order guides of food and disposable vendors. Ensuring business needs and requirements are covered.
- Maintain a current list of approved distributors by geographic location, product set and category aligning with Group Purchasing Organizations (GPO) where applicable.
- Communicate inventory levels and ensure pricing and managed order guides (MOGs) follow established standards and guidelines.
- Collaborate with distributors to resolve service, quality and inventory issues while providing timely resolution to field operation teams.
- Update distributor MOGs and communicate MOG changes to the Field Support and Implementation Team to align with operational requirements.
- Monitor out-of-stock situations and communicate related issues to the Field Support and Implementation Team, ensuring prompt resolution.
- Review broadliner performance monthly, creating action plans to address performance gaps or opportunities for improvement.
- Conduct invoice pricing reviews and ensure that pricing remains in alignment with agreed terms and market conditions.
- Review MOG pricing to ensure competitive pricing strategies are maintained.
- Communicate slow-moving and dead inventory to the Field Support and Implementation Team, working to optimize inventory turnover.
- Assist with vendor database development and updates, ensuring all vendor information is accurate and up to date.
- In conjunction with Field Support and Implementation team, manage emergency communications related to major weather events or natural disasters, ensuring continuity of supply and distribution operations.
- Support the set up and closures of accounts in tandem with the Field Support and Implementation Team to ensure smooth onboarding/offboarding of clients.
- Work closely with internal, cross-functional teams to achieve cost savings in alignment with annual goals by ensuring an optimal, cost-effective distribution model.
- Maintain current knowledge of food and nutrition procurement laws, rules, and regulations to ensure compliance.
- Attend meetings and trade conferences to stay informed about industry trends and best practices.

What You'll Need
- Bachelor's degree in Business, Supply Chain, or related field.
- 8 years of experience in procurement and/or supply chain in the food service, CPG, or related industry.
- Must have multiyear budgetary responsibility of $50MM or more.
- CPM or CPSM is not required but considered a plus.
- Knowledge of the practices, procedures and regulations relating to institutional food service, preferable.
- Ability to establish and maintain effective working relationships with food distributors, key suppliers, and internal stakeholders.
- Demonstrated experience in the 7-step strategic sourcing process, or equivalent.
- Experience in independently developing procurement category strategies and robust RFPs.
- Ability to organize and prioritize workload.
- Ability to express ideas clearly, orally and in writing.
- Experienced, strong negotiator.
- Strong planning, research, communication (written and verbal) and presentation skills.
- Proven negotiation and time management skills.
- Strong computer skills; working knowledge of ERP systems.
- Excellent analytical skills and detail oriented.
- Intermediate or Advanced in Microsoft Excel, Word, and PowerPoint.
- Intermediate or advanced user of Microsoft PowerBI.
- Strong vendor negotiation skills with track record of savings and success.
- Strong project management experience and the ability to managing multiple projects and changing priorities.
- Ability to present ideas effectively, actively listens and works across functional boundaries.
- Ability to think strategically and execute/problem solve tactical issues.
- Skill in being organized or following a systematic method of performing a task.
