Position Description

Trinity Valley School seeks a full-time Administrative Assistant to join the Upper School faculty beginning in the 2025-2026 school year.

The TVS Upper School celebrates the importance of the high school experience in setting students on the path to lives of purpose and fulfillment in adulthood, and it values all aspects of the breadth and depth of that experience. Students are challenged appropriately in their academic, co-curricular, and social/interpersonal lives, yet supported through the inevitable challenges they face by a professional faculty.

Role and Responsibilities:

The Upper School Administrative Assistant supports the work of the Head of Upper School, and to a lesser extent the Assistant Head of Upper School. This work includes event scheduling, planning, and facilitation, calendaring, and a range of other tasks. The Administrative Assistant answers calls and responds to parents, other school offices, and other constituencies promptly and courteously, and coordinates and a range of divisional written and electronic correspondence. The Administrative Assistant collects, compiles, and reports daily attendance for the Upper School. This individual works closely with the Network Administrator to maintain pertinent academic records.

Additional Responsibilities:

  • Serving as a welcoming presence to visitors to the Upper School as well as those who contact the Upper School by phone
  • Sorting of incoming mail, and collection and delivery of outgoing intradepartmental mail
  • Assisting with the maintenance and upkeep of the Upper School and Upper School Faculty Canvas (learning management and resource platform) pages
  • Providing occasional support to Upper School teachers and administrators in arranging for substitute teachers and/or internal coverage for absent teachers
  • Assists in the planning, scheduling, and implementation of a variety of Upper School events including assemblies, open houses, special ceremonies, parent/teacher conferences, etc.
  • Plays a major role in providing a range of logistical, communication, and support functions for Graduation
  • Assists as necessary with compilation and production of a variety of documents and publications such as the course registration guide and certain policy and procedure documents
  • Maintain organization and inventory of the teachers' workroom by restocking supplies as needed. Monitor and coordinate maintenance of commercial printers/copiers, including basic troubleshooting and placing service calls when necessary
  • Collect and organize monthly credit card receipts from teachers, input transaction details accurately, and compile the necessary reports for the business office on a monthly basis
  • Act as a primary point of contact between admin, parents, teachers, and students, facilitating clear and efficient communication to ensure the smooth exchange of information and support


Knowledge, Experience, and Skill Requirements

The ideal candidate:

  • Holds a Bachelor's degree.
  • Displays excellent communication and time management skills.
  • A minimum of two years' of related experience; prior school related experience is a plus.
  • Is comfortable and facile with a range of technology tools, and willing and able to learn new ones quickly.
  • Actively engage with students, school personnel, and parents.
