Summary: The primary responsibility of the Administrative Assistant/Executive Assistant is to provide high-level administrative support by conducting research, handling information requests, and performing various clerical tasks. This role acts as a communication and information manager within the office, ensuring smooth operations and efficient workflow.
The work schedule is 8:30 AM 5 PM, four days onsite per week, with potential overtime near the Global Strategy Summit in March, and possible travel to Oceanside for two days.
Job Responsibilities:
- Oversee general office duties, including ordering supplies, maintaining records, and performing basic bookkeeping.
- Review and approve invoices, reports, memos, letters, financial statements, and other documents.
- Analyze and prioritize incoming memos, submissions, and reports to ensure proper distribution and response.
- Prepare meeting agendas and coordinate logistics for committee, board, and other key meetings.
- Make travel arrangements and handle planning for meetings and events, ensuring seamless execution.
- Assist with the preparation and organization of the Global Strategy Summit and other corporate events.
Required Skills:
- Strong verbal and written communication skills, multi-tasking, and customer service abilities.
- Exceptional organizational skills, with a focus on maintaining confidentiality and managing sensitive information.
- Event planning and leadership abilities, with experience in mentoring and providing constructive feedback.
- Proficiency in Microsoft Word, Excel, PowerPoint, and familiarity with COUPA or contracting software.
Education & Experience:
- High school diploma or GED required.
- 8-10 years of experience, particularly in an executive assistant role.
- Previous experience supporting executives, with a focus on contracting, calendar management, travel planning, and budgeting.
