Order Management Specialist

 Duties and Responsibilities:

The Order Management Specialist is passionate about serving others and pay great attention to detail. They have the ability to work well with external stakeholders like customers and the sales team and know the internal processes to serve those stakeholders. They are responsible for top-line transactions and must have perfect accuracy in administering those transactions. Their greatest skill is the ability to make things look smooth and easy to those who depend on our products. A good bedside manner and the ability to prioritize are key skills for this position. 

As part of the national footprint of TriSalus Life Sciences, the Westminster facility acts as the global headquarters for manufacturing and engineering. We are experts in novel device design, clinical oncology applications, and complex medical device manufacturing. The Order Management Specialist supports the sale and delivery of our medical devices to clinicians to treat difficult cases of cancer in the liver and pancreas. 

• Process Customer Orders: Review the customer order and execute contract review. Enter the order into the company ERP system. Send a PO confirmation to the customer and sales rep and communicate delivery dates for all line items. Archive documents as defined in procedures.
• Support customers with post-sale issues related to delivery and invoicing: Provide tracking information and replace lost any lost or damaged orders. Working with Finance, resolve any issues raised by customers related to invoicing and credit.
• Fill and Replenish Field Inventory and demonstration units as requested: Field requests from sales team members and consignment locations to ship inventory to field locations. Document transactions in the company ERP system.
• Assist with Sales Support: As needed for backup responsibility. Duties may include facilitating credentialling, administering CRM applications, providing marketing literature, supporting the Sales team with Value Analysis Committee submissions, customer agreement facilitation, and providing tools to the sales team as needed.

Qualifications

Education & Certifications:

• High School Education or equivalent
• Lean certification a plus

Work Experience:

• 5 years  in sales order processing, purchasing role for medical device, pharma industry (preferred)
• ERP systems experience a must.

Knowledge, Skills & Abilities:

• Excellent verbal and written communication skills, including ability to effectively communicate with internal and external customers.
• Multi-tasking*, efficient
• Strong phone contact handling skills and active listening.
• Excellent computer proficiency (MS Office – Word, Excel, and Outlook).
• Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service.
• Dedication to customer satisfaction.
• Must be able to handle multiple items at the same time.
• Ability to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices.
