Position Overview: The IT Asset & Licensing Administrator is responsible for managing IT software entitlements, compliance, and renewals for both software and hardware assets across the company. This role oversees the software and hardware asset lifecycle to minimize risks and control costs, including performing software licensing audits requested by software publishers. The Administrator will also represent IT in process improvement reviews (PIR), identifying areas for efficiency improvements and operational cost savings.

- Build and maintain the software asset profile for licenses assigned to users, mobile devices, laptops/workstations, and servers.
- Oversee software license compliance and lifecycle, understanding different licensing types/methods.
- Support and interface with vendors for recurring IT infrastructure invoices.
- Engage in detailed data analysis to validate licensing compliance and user entitlements, ensuring company-wide compliance and minimizing costs.
- Collaborate with colleagues to meet customer software and hardware needs.
- Focus on customer needs and deadlines to prevent service issues.
- Document issue resolution using the service desk ticketing system.
- Ensure maintenance, support, and upgrade protection renewals are managed before expiration.
- Review and negotiate pricing with vendors and service providers.
- Perform secondary duties related to IT procurement and support other IT Asset, Maintenance & Procurement Coordinator tasks.
- Respond to and complete IT licensing audits in a timely manner.
- Identify issues with existing assets and license processes, taking corrective actions.
- Work closely with IT Security, Network and Systems, Applications, Customer Service, and BSA teams to ensure software meets business requirements.
- Improve processes and tools associated with asset lifecycle management to minimize risk and cost to the organization.
- Bachelor's degree in Business or IT, or AA with 2 years of experience, or 4 years equivalent related experience in software/asset licensing, compliance, and tracking.
- Strong understanding of IT systems and applications.
- Ability to maintain strong vendor relationships.
- Knowledge of software asset management processes, including licensing, compliance practices, and contracts.
- Ability to plan, direct, and evaluate situations for product procurement recommendations.
- Ability to manage multiple tasks effectively while staying within service level agreements.
- High standards of performance, responsibility, and accountability for task completion.
- Knowledge of ERP business systems to facilitate procurement processes.
- Excellent customer service skills.
- Proficient in Microsoft Office Suite with strong Outlook and Excel skills.
- Ability to create, document, and follow processes and procedures.
- Must be eligible for a DoD Personal Security Clearance.
- This job operates in a professional office environment.
- The role routinely uses standard office equipment, including computers, phones, photocopiers, filing cabinets, and fax machines.
- Must be able to work in confined spaces for long periods.
