Do you have experience processing Canadian Payroll (ONTARIO/CALGARY) preferably in ADP Workforce Now? This is a US based, FULLY REMOTE part-time 20 hour per week position in the Eastern or Central Time Zones Only. We are looking for someone with expertise in processing payroll in the US and Canada as well as providing HR support to a small employee base in Ontario and Calgary. This position will be a backup to the US HR/Payroll Generalist.
The most qualified candidate will have processed payroll, have knowledge and training in all aspects of employment law pertaining to HR and Payroll and experience working with ADP preferable Workforce Now.
SUMMARY: The Human Resources/Payroll Associate is a key contributor to the HR department, responsible for executing a wide range of HR functions including payroll, benefits administration, recruitment, and compliance. This role ensures smooth HR operations by providing essential support to employees and management, managing HR processes, and maintaining compliance with relevant regulations. Responsible for accurately and timely processing employee payroll, maintaining payroll records, and ensuring compliance with relevant tax regulations and company policies. The Associate collaborates closely with the SR HR Manager and HR Generalist to foster a productive and compliant workplace environment.
ESSENTIAL DUTIES AND RESPONSIBILITIES: (Other duties may be assigned)
PAYROLL RESPONSIBILITIES:
- Responsible for processing 2 bi-weekly payrolls (40 employees); processed on alternate weeks in ADP WFN.
- Maintain and update employee information, such as records of employee attendance, leave and overtime to calculate pay and benefit entitlements, in Canadian and other currencies, using manual or computerized systems
- Maintain the ADP WFN system to include system upgrades and adding/changing the payroll tables (codes, titles, GL accounts, etc.) and collaborate with the ADP Service Center to resolve system issues.
- Prepare and verify statements of earnings for employees, indicating gross and net salaries and deductions such as income taxes, union dues, garnishments, employment insurance and pension plans
- Prepare, verify and process all employee payroll related payments, including regular pay, benefit payments, and special payments such as sales commissions, bonuses and vacation pay
- Complete, verify and process forms and documentation for administration of benefits such as pension plans, leaves, share savings, employment and medical insurance
- Prepare payroll related filings and supporting documentation, such as year-end tax statements, pension, Records of Employment and other statements
- Provide information on payroll matters, benefit plans and collective agreement provisions
- Compile, review, and monitor statistical reports, statements, and summaries related to pay and benefits accounts
- Keep abreast of latest developments around federal and provincial enactments as these relate to changes in employees earnings and deductions
- Prepare and balance period-end reports
- Identify and resolve payroll discrepancies
- May be responsible for the development or implementation of payroll policies, procedures or processes.
- Serve as a backup to HR Generalist in US for payroll processing.
HR RESPONSIBILITIES:
- Provide comprehensive support to the HR Manager in all human resources-related tasks and processes.
- Maintain and update HRIS records for new hires, terminations, and employee status changes.
- Ensure completion and proper uploading of all new hire and termination paperwork. Provide assistance to employees as necessary.
- Ensure completion of employee offboarding process.
- Administer the performance review process.
- May be asked to create employment contracts, update contracts, job descriptions, etc.
- Support the recruitment process by posting jobs, screening candidates, and scheduling interviews.
- Generate and analyze HR reports as required.
- Maintain organized HR data on the shared drive.
- Handle invoicing for benefits and other HR-related services.
- Assist with Disability claims
- Oversee Board FTEs and maintain the relevant system.
EDUCATION AND/OR EXPERIENCE:
Associates Degree and two years of HR and Payroll administrative experience in Canada and US or an equivalent combination of education and experience.
OTHER SIKILLS AND ABILITIES:
Prior Payroll processing experience is required, ADP Workforce Now Canada and US Preferred
Must have strong organizational and communication skills (both verbal and written)
Must have computer skills, including familiarity with Microsoft Office applications (Word, Excel, and Outlook).
