The Procurement Contracts Analyst acts as the point of contact for contract review and analysis within the Procurement department. The Procurement Contracts Analyst handles daily tasks related to contract development, review, and negotiation for assigned efforts within departments or across the Firm. Works collaboratively with departments across the Firm for their vendor engagement and management needs, while also interacting with vendors and key firm stakeholders to align resources and budgets to ensure achievement of objectives.

Essential Duties And Responsibilities

  • Prepares, reviews, and negotiates contracts, including firm-wide and department contracts for a variety of needs and types of purchases while ensuring the firm is securing the best value and most favorable terms.
  • Assists with identifying opportunities for new contracts and participates in supplier meetings.
  • Provides guidance to the key firm stakeholders and departments on contracting best practices for the firm’s acquisition of products and services.
  • Supports formal sourcing initiatives (RFP/RFQ/RFIs), evaluates proposals, and negotiates, awards, administers, and closes out contracts as appropriate.
  • Facilitates the end-to-end contract life cycle, including initiation, authoring, workflow, negotiation and approval, execution, ongoing management and compliance, and contract renewal.
  • Acts as a liaison for all formal and legal correspondence relating to contracts.
  • Works closely with Office of General Counsel, IT and other departments as required, ensuring that terms and conditions are compliant with policies and procedures and best business practices.
  • Provides and maintains a list of all contracted vendors that can be utilized firm-wide or by individual departments to procure goods and services, including but not limited to RFP contracts, sole/single source contracts, and group purchasing agreements. 
  • Evaluates and recommends extensions and re-bidding of contracts.
  • Coordinates the dispute resolution process for contracts; coordinates with internal stakeholders as needed.
  • Represents Procurement Services on cross-functional initiatives through working groups, committees, and team collaboration.
  • Researches, analyzes, and gathers data to support purchasing decisions.
  • Effectively works on multiple projects, assignments, and priorities to ensure procurement knowledge is incorporated into projects and plans.
  • Ensures that all documentation related to purchases, cancellations, and vendors are filed and updated in the appropriate systems.

Knowledge, Skills And Abilities

  • Demonstrated negotiation skills of the highest quality and effectiveness.
  • High level of accuracy and attention to detail is critical.
  • Ability to effectively prioritize according to need and urgency.
  • Strong interpersonal skills, with the ability to provide high-quality service and partner effectively with diverse groups of people at various levels within the firm as well as external contacts.
  • Ability to communicate clearly, both written and verbal.
  • Represent the department in a professional and positive manner.
  • Ability to self-manage and work independently in a remote, hybrid, or in-office setting.
  • Strong knowledge of relevant software applications, licensing structures and contract terminology.
  • Advanced skills in collaboration applications (SharePoint preferred), Excel, Tableau and Visio preferred.

Education And/or Experience

  • A Bachelor’s degree in finance, accounting, law or equivalent combination of training, education, and experience that demonstrates the requisite knowledge and ability to perform the duties of the position.
  • Minimum of three (3) years of directly related experience in contracts, with preferred knowledge of related procurement processes, tools/systems, policies, and best practices.
  • Demonstrated experience and success with contracts, invoices, and software licensing terms.
  • Medium to large law or professional services firm experience is highly desirable.

Hiring Salary Range

$70,000.00 - $90,000.00
