Position Summary
The Time and Materials (T&M) Construction Bookkeeper is responsible for ensuring the accurate tracking, allocation, and billing of labor, material, and equipment costs for construction projects. This role requires a detail-oriented professional with expertise in construction accounting and job costing. The Bookkeeper will collaborate closely with project managers, vendors, and clients to maintain precise financial records and ensure that all costs are managed in accordance with contract terms.
KEY RESPONSIBILITES
Accounting and Bookkeeping
- Maintain and reconcile general ledger accounts, accounts payable (AP) and accounts receivable (AR).
- Process invoices and prepare payments for subcontractors, suppliers and vendors on a weekly schedule.
- Reconcile multiple credit cards and commercial accounts on a weekly schedule.
- Ensure compliance with monthly tax regulations, DOR payments, business and excise taxes, and payroll taxes.
Time and Materials Tracking
- Track and allocate labor, materials and equipment costs to specific projects.
- Ensure proper mark-up and overhead costs are applied to the T & M contracts.
- Prepare and submit detailed T&M invoices to Project Managers for issuance to clients.
Job Costing and Reporting
- Maintain accurate job cost reports, tracking budgets versus actual costs.
- Generate weekly/monthly financial reports for management and project teams.
- Assist in forecasting and financial planning by providing cost breakdowns.
- Work with Project Managers to ensure accurate cost tracking and billing.
- Meet monthly with Owner/GM to review PNL, balance sheet and yearly totals.
Administrative & Compliance
- Maintain organized and detailed financial records for audits and tax preparation.
- Ensure compliance with contract terms, lien releases, and retainage tracking.
- Assist in payroll processing, including certified payroll reporting if required.
- Collaborate with CPA and external auditors as needed.
QUALIFICATIONS
- Experience: Minimum 5 years of bookkeeping/accounting experience, preferably in construction.
- Education: Associate or bachelor’s degree in accounting, finance, or a related field. (preferred)
- Software Proficiency: Quickbooks online and desktop accounting. Experience with Procore is a must.
KEY SKILLS
- Strong understanding of time and materials billing methods.
- Proficiency in job costing, invoicing, and financial reporting.
- Attention to detail and high level of accuracy.
- Excellent communication and organizational skills
- Ability to multitask and work in a fast-paced environment.

WORKING CONDITIONS
- This role can be in-person, remote or hybrid of the two.
RELATIONSHIPS
- The bookkeeper will report directly to the Owner and General Manager.
- The bookkeeper will work closely with the Project Managers on a regular basis.
PERFORMANCE REVIEWS
A review will be held at 30 days after the first date of hire and yearly thereafter.
SCHEDULE AND PAY
- Full-time, salary, 40 hrs/wk. Salaried position.
- Office employees work Monday – Friday 8:00am – 4:30pm
