U.S. Fire Equipment, a division of True North Emergency Equipment, (https://truenorthemergency.com/truenorth-usfireequipment) has an opportunity for a Receptionist/Branch Administrator to join our team in Hillsboro, Oregon.
This is an integral support role within a team of professionals in a fast-paced environment. This multi-faceted position requires a high level of professionalism, with a ‘can-do’ spirit. The ideal candidate will have strong administrative and customer service skills including reception experience. Your attention to detail, ability to meet deadlines, discretion in handling confidential information, ability to prioritize and adapt to changing demands will be essential to your success. You are a positive, upbeat, self-starter who takes a great deal of pride in their responsibilities, exhibits integrity, time management and organizational skills. True North services emergency vehicles so previous experience within a similar industry would be an asset but not mandatory.
This is a permanent part-time position working 20 hours/week
Hours: Monday through Friday, 10:00 am to 2:00 pm (onsite)
Hourly range: $22.00 - $25.00 per hour (based on experience)
RESPONSIBILITIES:
- First point of contact for answering phones.
- Open/date stamp/scan mail to accounting.
- Check and distribute branch mail.
- Post/deposit check payments in a timely manner.
- Maintain filing.
- Coordinate weekly UPS Shipments.
- Issue and administer miscellaneous purchase orders to support the service department.
- Collect and track contractor hours.
- Collect bi-weekly employee hours and submit to payroll.
- Order office/building supplies.
- Perform other duties as needed.
SKILLS & QUALIFICATIONS:
- High School Diploma or equivalent.
- Minimum 2 years experience in a receptionist and/or administrative assistant role.
- Previous experience working in a vehicle service environment is an asset.
- Excellent customer service relations.
- Proficient with MS Office.
- Ability to work in a fast-paced environment.
- Excellent command of the English language both verbal and written.
- Superior time management and organizational skills, with an ability to prioritize under limited supervision.
- Attention to detail, especially ensuring specific steps are followed to complete a task.
- Positive and professional demeanour.
- Self-starter, highly motivated, team player.
