Our client, a plaintiff-side employment law firm, is searching for a Head of Intake Department (MUST BE AN ATTORNEY) to coordinate all aspects of the intake process for our fast-growing firm. This is a full-time, in-office position for immediate hire based in our office in El Segundo. The candidate must be:

• A licensed attorney in the state of California
The Head of Intake Department will serve as one of the first points of contact for prospective clients, ensure the smooth, efficient, and effective administration of the intake department, play a crucial role in establishing best practices for evaluating potential cases, and steer prospective cases through the intake pipeline. The ideal candidate will have meaningful intake or legal experience and possess a proven track record of successfully retaining clients.
Responsibilities include but are not limited to:
• Overseeing and executing all aspects of intake logistics including scheduling appointments, calendaring, preparing intake documents and reports, and executing necessary follow-up steps
• Managing of all aspects of the internal intake process, including conducting comprehensive preliminary screening of prospective cases, completing required documentation, and summarizing information to guide led attorney decision-making
• Successfully steering the intake process from lead to retained client
• Assessing viability of cases based on established standards / guidelines and successfully converting client intakes into retained cases
• Gathering and reviewing necessary employment documentation
• Preparing summarized findings and recommendations for attorneys
• Meeting regularly and following up with key attorneys
• Referring cases externally, gathering client information, retaining clients, and notifying leads of final intake determination
• Maintaining updated and organized intake database
• Leading a small intake team to achieve established outcomes; providing guidance to team members, including training and performance management; conducting regular meetings with staff to communicate goals, expectations and provide updates on department performance
• Monitoring and evaluate department performance metrics, making recommendations for improvement as needed
• Setting an exemplary high performance leadership tone for the department
We are seeking an attorney with 2 years of experience with a positive attitude who can effectively lead people and processes and commit to a high standard of ethical and professional conduct. The Head of the Intake Department must be highly organized, reliable, self-motivated, and detail oriented. Qualifications:
• Fully bilingual Spanish required
• A licensed attorney in the state of California
• Experiencing supervising and leading teams required
• Exhibit strong communication skills and the ability to distill information effectively to clients and attorneys
• Must be empathetic, display strong interpersonal skills and engender client trust
• Must have exceptional organizational skills to manage intake pipeline from beginning to end, for both internal and external referrals
• Must possess strong critical thinking and problem-solving skills, and exhibit high degree of resourcefulness
• Able to analyze data, consolidate information and make data-driven recommendations
• Exercise initiative, and committed to developing and strengthening systems
• Proficient with Microsoft Office (Excel, MS Word and Outlook)
