Team Coordinator Job Profile
The Team Coordinator provides essential operational and administrative support to the advisory team and clients, ensuring the timely and smooth execution of tasks and projects. As a knowledgeable resource for both teammates and clients, they help drive progress, manage processes, and effectively address client matters. Core Responsibilities
- Collaborate with our wealth management professionals to deliver an exceptional client experience.
- Provide centralized support for client needs, including:
- Executing rollovers of retirement plan assets
- Entering and completing client tasks in our CRM workflow system
- Conducting client list reviews for common matters (i.e., beneficiaries, trusted contact forms)
- Facilitating recurring client transactions (i.e., RMDs, backdoor Roths, IRA contributions, family gifts, charitable gifts)
- Handling special delegated projects
- Facilitate the onboarding process for new clients by:
- Offering a welcoming and seamless introduction to Truepoint services as one of the first points of contact (via phone, in-person, or Zoom)
- Collecting and organizing initial client documents, saving them to internal files, ensuring timely follow-up until all materials are received
- Entering tasks in CRM for initial account set-up
- Enhancing client relationships by:
- Coordinating with advisory team to send client gifts and birthday cards
- Providing timely responses to client emails and phone calls when the advisory team is unavailable
- Support the advisory team with administrative tasks, such as:
- Scheduling client meetings and internal huddles, ensuring proper workflow execution
- Collecting and filing client documents in designated systems (i.e., client portal, Laserfiche, CRM)
- Updating CRM data fields as needed
- Managing paper mailings to specific clients
- Demonstrating proactivity, critical thinking, and problem-solving skills to support the advisory team and clients effectively

Physical & Environmental Requirements:
- Prolonged periods of working on a computer and occasional periods sitting.
- May have to lift up to 15 pounds.
- Minimal travel required. Frequent attendance at internal meetings required.
- Occasional attendance at meeting with outside partners.
- Travel outside the region may be required for business and/or professional development.
