Accounts Payable Specialist
Summary: Compiles and maintains accounts payable records by performing the following duties.
Essential Duties and Responsibilities: include the following. Other duties may be assigned.
- Audits payable invoices for accuracy, records receipt date on invoice, and codes GL distribution account.
- Obtains approvals for payment of invoices.
- Matches purchase orders (Spa and Golf Retail) with invoice and resolves discrepancies.
- Answers vendor and internal staff inquiries.
- Analyzes vendor accounts and suggest extended terms with vendors.
- Enter and post vendor invoices into accounts payable system.
- Prepares accounts payable checks, ACH and internet credit card payments noting time sensitive disbursements.
- Updates weekly disbursement log.
- Prints appropriate accounts payable reports.
- Maximizes and promotes use of GlobalvCard (internet credit card).
- Create/Monitor/Update internet credit card vendors.
- Coordinates with other staff members for intercompany charges/billings.
- Collects charges due from employees, i.e. FedEx charges.
- Prepares analysis of accounts, as required.
- Files paid invoices on a weekly basis.
- Purges or archives inactive vendors from the database annually.
- Obtains IRS Tax Form W-9 and maintains Certificate of Liability Insurance.
- Create/maintain vendor accounts. Files Form 1099 and 1096 annually pursuant to IRS requirements.
- Reconciles AP control account to Aging Report on a weekly basis and at month end.
- Cross trains with accounts receivable to answer member inquires, post daily receipts and performs daily close.
- Performs special projects, as necessary.
- Shares responsibility with staff in retrieving mail daily.

Education and/or Experience: Associate's degree (A. A.) or equivalent from two-year college or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience.
Language Skills: Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
Mathematical Skills: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
Computer Skills: To perform this job successfully, an individual should have knowledge of Accounting software; JONAS; Microsoft Office including Excel.
