Position Summary:
Reporting directly to the California Region Director of Philanthropy, this position will be responsible for the day-to-day execution of the Trust for Public Land’s California Advisory Board (CAB) activities and provide administrative support to the California Region Director of Philanthropy. We are seeking a creative, self-motivate individual, committed to working at the highest level of quality, able to work both independently and in collaboration, manage multiple priorities, and thrive within a fast-paced, results-oriented team.

The Philanthropy Coordinator and Advisory Board Liaison will work closely with members of the CA Advisory Board (CAB), CA Program Leadership, and the CA Philanthropy Team to develop and implement cultivation and stewardship strategies of CAB members. The position will serve as the main point of contact for all CAB members and CAB related events and work closely with the CAB Co-Chairs, CA State Director, and CA Region Director of Philanthropy to plan and deliver advisory board strategies and meetings.

This position will serve as a member of the CA Philanthropy Team and is expected to collaborate with a variety of internal partners including Philanthropy Operations, Philanthropy Programs, and Finance teams.

Responsibilities:

California Advisory Board (CAB) Support – 75%
  • Acts as the main point of contact for current and emeriti California Advisory Board members.
  • Responsible for all logistical arrangements around CAB meetings, site visits, and dinner receptions and handles on-site execution, including day-of meeting set-up, planning and coordination of catering services, transportation, securing speakers, development of meeting materials/pre-read materials/follow up materials & meeting minutes, and the coordination, editing and technical execution of onsite presentations, including running related A/V equipment and troubleshooting when necessary.
  • In collaboration with TPL’s Events, Finance, and Legal colleagues, manages sourcing and contract negotiation and payments for CAB meeting hotel accommodations, meeting locations, transportation services, and related special events.
  • Create staffing plan for quarterly board meetings to include appropriate philanthropy team and senior leadership team staff.
  • With direction from the CA State Director and CA Regional Director of Philanthropy, manages board engagement and drives efforts to deepen the CAB’s relationship with the organization. 
  • With the California State Director and CA Regional Director of Philanthropy, helps create and manage systems for CAB prospect pipeline, recruitment and nomination protocols, and collaborations with TPL’s Volunteer Program to establish on-boarding and orientation processes and materials for new CAB members.
  • In partnership with the Volunteer Program, develops updated board criteria and provides direction on CAB standards, policies, and procedures.
  • Prioritizes and plans work, consistently meets deadlines, and develops realistic action plans that support CAB goals and objectives.
  • Drafts regular communications to CAB and staff providing updates, actions items, etc.; updates the database, as needed.

California Philanthropy Support – 25%
 
  • Maintain donor contact and gift records in fundraising database, enter data in records, produce gift and contact reports for California Region Director of Philanthropy, and help draft donor contact summaries.
  • Collaborates with Philanthropy Programs and Operations staff to advise and recommend systems to best support CA Region Director of Philanthropy with donor cultivation, solicitation, and recognition. 
  • Works closely with the CA Philanthropy Coordinator to support the overall CA Philanthropy operations, as needed. This includes CA Philanthropy team’s gift processing and database management and assisting when needed with general non-CAB donor cultivation and fundraising events in California.
  • Support the California Region Director of Philanthropy assisting with travel arrangements, processing expenses, and providing other administrative and organizational functions as required or assigned.
  • Other duties as assigned.

Experience, Education, and Skills Required
  • 3-4 years’ experience with demonstrated skillset in volunteer management, special events and meeting management.
  • Excellent organizational skills: able to prioritize, multi-task and has a strong attention to detail.
  • Experience in managing remote software/applications (Zoom, Teams, etc.)
  • Experience using good judgment, discretion, and professionalism to build positive relationships with donors, volunteers, and staff.
  • Demonstrated experience working successfully with all levels of staff. Experience working directly with Executive level staff and C-suite level volunteers.
  • Able to handle confidential matters with the highest degree of discretion and tact.
  • High degree of initiative, professionalism, and discretion and good judgment.
  • Excellent communication skills with experience writing and copy editing; emails, newsletters, and board related materials for an external audience.
  • Knowledge of Microsoft Office Suite and software programs for calendaring, database management and research.
  • Ability to work flexible hours when needed, work occasional evenings, weekends, and travel.

Compensation

Trust for Public Land is a hybrid work environment; the California Philanthropy Coordinator/ Advisory Board Liaison will ideally be in the greater Los Angeles, Central Coast, or Bay Area. As a full-time non-exempt employee, you will be eligible for Trust for Public Land’s comprehensive benefits program which includes medical, dental, and vision insurance, vacation, sick leave, and holidays. We also offer a 403(b)-retirement plan, currently with an up to 7% company match. We offer competitive salaries commensurate with experience; the hiring range for this position is $70,000-$80,000
