Home Care Admin Support and Scheduling Coordinator - Experienced
The Scheduling Coordinator is responsible for the scheduling operations at TRUSTED Home Care Solutions. This primarily includes constant communication with the Agency's clients to understand their needs, as well as with our caregivers to understand their availability. The Scheduling Coordinator also assists with general office operations and other administrative duties.
This is a full-time position, which requires working Saturday and Sunday (plus 3 days of the regular work week). Our business is 24/7, so our office staff shares the handling of after hours on-call duties.
The Scheduling Coordinator is friendly and outgoing, and knows how to communicate on the phone in a professional manner. The successful candidate will handle diverse duties from scheduling to intakes to assisting with our recruiting efforts. This is a very active position. The candidate also has strong computer skills, can navigate through multiple tasks, solve problems quickly and is extremely organized.
Scheduling Coordinator Qualifications:
- High school diploma. College-level coursework, strongly preferred. Degree ideal.
- Eighteen years of age or older and equivalent employment authorization
- Demonstrated ability to effectively communicate and interact with clients/family, caregivers, co-workers, referral sources and outside agencies
- Extensive experience performing administrative duties relevant to scheduling, customer service and computer operation. Experience in the home care field strongly preferred.
- Outstanding customer service skills
- Ability to perform multiple tasks under strict deadlines
- Pass state criminal background check clearance or have exemption clearance
Staffing Responsibilities:
- Answers Agency phone and responds to requests in an efficient and professional manner
- Checks emails and phone messages regularly throughout the business day and responds appropriately and in a timely manner
- Ensures clients are staffed with qualified caregivers and assures attendance ratios
- Coordinates and updates client/caregiver schedules in Agency's online scheduling system
- Preventively creates contingency plans to handle potential emergency staffing needs
- Ensures open shifts are covered by the close of each day for the following day
- Communicates scheduling updates to Agency's office personnel timely
- Reports client/family/employee concerns to relevant Agency staff
- Informs and familiarizes with clients' service/care plan, and communicates with caregivers in preparation for their initial visits
- Reviews and familiarizes with caregivers' qualifications to ensure skill set is aligned with care plan
Intake Responsibilities:
- Manages intake telephone calls and answers potential clients' questions regarding Agency's home care services
- Assists Agency peronnel in following up with potential clients and/or their family through phone, email or standard mail
- Schedules initial non-medical assessment with each new client/family
- Enters Intake information in Agency's online system in a timely manner and helps maintains Intake binder for office
Payroll Coordination:
- Verifies caregiver flowsheets against clients' schedule
- Manages caregiver over time hours especially during emergency situations
- Enters billing and payroll data into Agency's online system
- Follows up with caregivers/staff with any payroll questions and documentation, as requested
Scheduling System Management:
- Generates monthly schedules for clients/caregivers
- Enters new client and new hire information and updates as needed
- Updates any client/caregivers schedules in a timely manner
- Generates reports to schedule upcoming supervisory visits and informs staff of scheduled visits
Caregiver Training Coordination:
- Coordinates caregiver training to ensure regulatory compliance
- Schedules caregivers in Agency's online training platform, and maintains weekly schedule
- Updates caregiver files to reflect completion of training
Other Duties/Functions:
- On-call duties as assigned
- Assists office staff with unemployment and workers' compensation items
