About the role

We are looking for an Executive Director, Project & Program Managment.

Responsible for providing leadership and oversight for the governance and guidelines of Trustmark's Project Management Lifecycle ("PMLC") to ensure excellence in delivery of projects and realization of project benefits. Significant focus is placed on continuous improvement, aimed at streamlining the PMLC to reduce the cycle time from project initiation to closure while enhancing overall project delivery outcomes. Ensure project managers are maintaining accountability and compliance with Trustmark's governance requirements. Partner in hiring and onboarding strong project managers. Manage contracts with project management staffing firms and targeted resources required for project delivery. Participate in Business Process Engineering (BPE) and Change Management Communities of Practice.

Key Accountabilities

Strategic Relationships and Stakeholder Engagement

  • Develop and cultivate strategic relationships with key stakeholders, including Trustmark's Executive Leadership Team (ELT), to understand their needs and support project managers accordingly.
  • Maintain high standards of customer service and business professionalism.
  • Act with integrity, respect others, follow through on commitments, and earn trust.

Project Management Lifecycle (PMLC)

  • Establish, document, and continuously improve Trustmark's PMLC.
  • Engage project leaders and guide managers as needed to ensure projects comply with the established PMLC, promoting consistent execution across the portfolio.
  • Ensure project managers are completing phase checklists and conduct periodic reviews to verify adherence to the PMLC.
  • Develop and maintain PMLC training programs to ensure project managers maintain strong competencies in PMLC.
  • Project Support and Guidance

  • Provide support for project proposals by assisting project leaders on business case development and project managers with Cost Benefit Analysis (CBAs), ensuring familiarity with proposal tools and templates.
  • Provide guidance to project managers on status reporting, risk and issue management, and support in critical decision-making processes.
  • Collaborate with project leaders and project managers on financial, resource, and schedule variances to understand the reasons behind these discrepancies, advising on adjustments, reallocations, or scope adjustment as necessary in collaboration with finance leads.
  • Project Planning and Coordination

  • Drive the organization's project planning process, ensuring that ELT gates are well-established and effectively managed, including facilitating ELT Gate Reviews and collaborating with Project Leaders to ensure they are fully prepared to discuss key project milestones and decision points.
  • Coordinate, centralize, and drive discussions for an enterprise list of future projects to be considered and prioritized.
  • Support project managers in ensuring efficient project phase gate reviews, approvals, and transitions.
  • Reporting and Financial Management

  • Establish and maintain centralized enterprise-level project reporting, in close collaboration with the finance leaders, at appropriate intervals, including comprehensive project status, health, and financials to the ELT.
  • Work closely with finance, technical, and business teams to ensure reports align with project objectives and KPIs.
  • Ensure adherence to financial management best practices and accurate tracking of project budgets, forecasts, and overall financial performance.
  • Track post-project benefit realization and run costs are tracked, understood, and reported to stakeholders and ELT.
  • Stakeholder Engagement and Risk Management

  • Build and sustain positive relationships within the project delivery team and across the Enterprise PMO, reinforcing a positive environment of collaboration and respect.
  • Facilitate ongoing attention to stakeholder buy-in, communication mechanisms, and actions to mitigate / respond to risk throughout the project life cycle.
  • Assist with communication or resolution of issues escalated by project leaders, renegotiating project needs and confirming appropriate realignment with expectations, budgets, strategy, etc.
  • Management and Leadership

  • Directly manage the PMCoE and the Technology and Reporting Specialist.
  • Partner in selection and hiring of highly skilled project managers.
  • Coach and foster growth in project managers and dotted-line PMs.
  • Establish clear performance expectations and provide constructive performance feedback and recognition.
  • Anticipate and assist in resolving performance gaps quickly to keep work on track.
  • Performance and Development

  • Facilitate milestone project performance discussions - status, mid-project reviews, postmortems - to gather and share best practices and identify improvement opportunities.
  • Capitalize on talents, passions, and experience of self / others.
  • Empower others to take calculated risks and execute responsibilities and beyond.
  • Reinforce and create opportunities to facilitate ongoing learning.
  • Resource Management

  • Develop and execute preferred provider list and process for staffing firms, resulting in high-quality project management resources at a competitive price.
  • Other duties as needed / assigned.
  • Minimum Requirements

  • Bachelor's Degree and 10 years of related business experience
  • Five years of management experience in project management capacity
  • Proven track record of Financial and Risk Management
  • Strong leadership competence, with proven skills in managing change
  • Strong interpersonal and collaboration skills with ability to build consensus and develop solid relationships
  • Experience with cultural, organizational, technology and business process change efforts
  • Proven communication skills; both written and verbal with technical and non-technical staff and all levels of management
  • Experience in Microsoft Project Server and SharePoint or similar PPM tool
  • Preferred

  • Master's degree in business, IT, operations, finance, etc. or equivalent

  • The compensation range for this role is (based on the corporate location in Lake Forest, Illinois) :

    133,593 - $199,476 per year

    The final salary offer will be determined based on factors such as location, qualifications, experience, skill set, and other relevant factors. This position may also be eligible for bonus.
