Responsibilities:
The Director of Administration and Operations will be responsible for the following duties:
- Developing and managing grants calendars, tracking, monitoring, and managing grant deadlines and meetings;
- Participating in fundraising initiatives, including events, annual appeals, and outreach collateral, communications, email campaigns, social media, and fundraising materials;
- Utilizing and refining TSNE's donor database system to track donors, fundraising goals, and progress;
- Maintaining and expanding relationships with foundations and grantors;
- Collaborating with the Executive Director to establish annual fundraising goals for the organization;
- Researching new funding opportunities to meet the organization's needs;
- Managing a network of volunteer mentors and supervising Program Coordinators;
- Establishing work and communication flow for student recruitment, mentor/student communication, and evaluation;
- Creating infrastructure organizational systems for all aspects of TSNE;
- Supporting the Executive Director in managing HR functions;
- Overseeing day-to-day operational systems and processes aligning with strategic goals;
- Establishing, managing, and maintaining TSNE's administrative policies and procedures;
- Ensuring TSNE's policies, procedures, and standards are communicated effectively and adhered to by all staff and volunteers;
- Overseeing TSNE's office management, office vendor contracts, and relations space, management, and maintenance;
- Overseeing the process of selecting/purchasing new IT equipment and systems as needed and managing the setup of all IT equipment and systems;
- Supporting the Executive Director and TSNE's Accounting Consultant(s) in preparing annual operating and programmatic-level budgets;
- Acting as a key contact for Mentor and Student Coordinators; creating a communication flow and a reporting system to track mentors, mentor recruitment, community outreach, and meetings, and student/mentor interactions;
- Collaborating with Mentor Coordinators to manage a network of volunteer mentors and supervise the Program Coordinators of the mentor programs;
- Establishing work and communication flow for student recruitment, mentor/student communication, and evaluation;
- Coordinating across functions within and outside the organization to ensure proper infrastructure and resources needed for program success;
- Strengthening and deepening existing partnerships and identifying and cultivating new partnerships to expand TSNE's programs and build sustainable Mentor base;
- Working alongside Program Coordinators to review and revise policies, outreach materials, contracts, and communication tools, and create communication flows;
- Working with Program Coordinators to develop and implement mechanisms for program evaluation and enhance program quality and effectiveness;
- Collaborating with TSNE's ED to initiate and carry out new strategies and approaches to achieve the organization's mission, vision, strategic priorities, and goals;
- Identifying best practices to improve internal systems;
- Providing leadership and strategic direction to fulfill TSNE's mission and values;
- Completing other duties as assigned.
