Position Title: Events Coordinator

Position Summary
As the Events Coordinator, you will play a key role in ensuring that special events and facility rentals at Tuacahn Center for the Arts go off without a hitch. A talented coordinator will not only execute logistics at a high level, but also understand the importance of creating trusting relationships with every rental client, while also ensuring the best interests of Tuacahn.
Responsibilities
- Respond to inquiries about event and production rentals via phone and email.
- Coordinate facility use, rental equipment, and room resource calendars with various departments at Tuacahn.
- Contract with approved clients; manage invoicing and payments for facility rentals.
- Communicate with clients to discuss all event details, including but not limited to: timeline, decor, vendors, and layout.
- Conduct inspections before and during the event to make sure everything is up to client and venue standards.
- Assist with the planning and execution of Tuacahn marketing and development fundraising events throughout the year.
- Manage a flexible schedule to balance office work and event schedules.
- Advise management of significant competitive sales and rental activities.
- Protect the best interest of Tuacahn's facilities and ensure all policies and regulations are adhered to.
- Other duties as assigned.
Qualifications & Skills
- High school diploma or general education degree (GED) and minimum 2 years of professional work experience, preferably in the event planning industry.
- Proven history taking ownership of the coordination of complex tasks.
- Ability to be flexible with scheduling, in order to be responsive with clients.
- Process-oriented with a focus on logistics and an ability to anticipate needs in advance.
- Proactively engage clients to steer them in the right direction as the subject matter expert in events and coordination.
- Possess a high-level of attention to detail; an eye for design and understanding of basic event flow layout is ideal.
- Communicates effectively both verbally and in writing.
- Possess excellent customer service and follow up skills.
- Works well in a team environment and actively contributes to the success of every event.
- Nimble and able to adapt to changing circumstances with quick decision-making skills.

Other Details
Year round, part-time (25 hours per week) with possible future full-time. This is an in person, on-site position. Availability on nights and Saturdays is required. A few Sundays during the year are also required.
