Summary
We are seeking a detail-oriented Accounting Specialist to manage various accounting functions, including accounts receivable and payable, compliance tracking, and financial reporting. The ideal candidate will be organized, proactive, and able to communicate effectively with customers and vendors to ensure smooth financial operations.
Essential Duties And Responsibilities
1099 Reporting: Ensure vendors are properly classified for 1099 reporting and confirm the correct setup in the accounting system.
Accounts Receivable Collections: Monitor outstanding invoices, follow up with customers on payments, and ensure timely collection of receivables.
Customer Coordination: Communicate with customers regarding payment schedules, outstanding balances, and resolution of billing discrepancies.
Waiver Collection & Organization: Ensure timely collection, tracking, and proper organization of lien waivers.
Vendor & Customer Insurance Compliance: Verify and maintain up-to-date vendor and customer insurance documents to ensure compliance with company policies.
Notice to Owner Compliance: Process and manage Notice to Owner (NTO) documentation to protect company lien rights.
Accounts Payable Processing: Process vendor invoices accurately and in a timely manner, ensuring proper approvals and coding.
Bank Reconciliations: Perform monthly bank reconciliations to ensure accuracy in financial reporting.
General Ledger Maintenance: Assist in maintaining and reconciling general ledger accounts.
Miscellaneous Filings: Handle general administrative filings and documentation as needed.
Reporting: Generate and analyze reports as required, providing insights into accounts payable, receivable, and compliance status.
Supervisory Responsibilities
No supervisory responsibilities.

Education And/or Experience
High School Diploma or GED
Bachelor’s degree in accounting, Finance, or a related field preferred; or equivalent experience in accounting-related roles.
Two to five years of experience in accounting, including accounts payable and receivable.
Strong knowledge of general accounting principles, financial reporting, and tax compliance.
Experience with accounting software and Microsoft Office applications (Excel, Word, Outlook, PowerPoint).
High level of accuracy and attention to detail.
Strong problem-solving skills and ability to work independently.
Strong customer support orientation for internal and external customers.
Ability to maintain confidential information.
Communication Skills
Ability to read, analyze, and interpret financial reports and legal documents.
Ability to respond to inquiries from customers, regulatory agencies, or management.
Ability to effectively present financial information to upper management.
Mathematical Skills
Ability to calculate figures such as discounts, interest, and percentages.
Ability to apply accounting concepts to financial transactions and reports.
REASONING ABILITY
Ability to define problems, collect data, and draw valid conclusions.
Ability to interpret financial data and solve accounting-related issues.
PHYSICAL DEMANDS
The employee is frequently required to use hands or fingers, handle objects, tools, or controls. The employee is occasionally required to stand, walk, sit, and reach with hands and arms. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required include close vision, distance vision, and the ability to adjust focus.
