Position Overview
We are seeking a highly organized and proactive Office Operations Manager to oversee daily office operations in our newly expanded New York City design space. This person will help optimize administrative processes and support a productive work environment. This role ensures the smooth functioning of office activities, coordinates with various teams, and helps maintain an efficient, welcoming workplace.
For the first three months, our Office Operations Manager will take the lead in project managing and overseeing our highly visible and anticipated office expansion in New York City, serving as the primary point of contact for all aspects of the expansion process.
Core Responsibilities
- Manage office operations, including supplies, vendor relationships, and facility maintenance.
- Develop and implement office policies and procedures to improve efficiency and workflow.
- Oversee administrative functions, including scheduling, correspondence, and record-keeping.
- Act as the point of contact for internal and external stakeholders regarding office matters.
- Assist in onboarding new employees and coordinating office-related HR functions.
- Support budgeting and financial tracking for office-related expenses.
- Collaborate with IT and operations teams to address office technology needs.
- Help coordinate catering logistics for in-office events and gatherings.
- Be the “eyes and ears” in New York City, observing and analyzing dynamics to identify potential issues or opportunities.
Additional Responsibilities
- Support private label and design teams based in New York City.
- Receive and ship product samples, supplies, and materials.
- Coordinate and set-up for in-office private label meetings, including but not limited to, seasonal kick-offs and line reviews.
- Organize, file, and manage samples and documents in designated storage areas.
- Support our CEO.
- Attend meetings in-person to document notes and act as the liaison with internal and external stakeholders as needed.
- Support our Madison Ave store location with operational tasks as needed.
Minimum Qualifications
- Bachelor’s degree in business administration, management, or a related field preferred.
- 3 years of experience in office management, operations, or administrative leadership.
Knowledge/Skills/Abilities
- Flexible and adaptable to changing priorities and demands.
- Strong organizational, problem-solving, and multitasking skills.
- Excellent communication and interpersonal skills.
- Proficiency in Google Suite and other workplace management tools.
- Ability to work independently and make informed decisions.
