Responsibilities: The Assistant Project Manager role is pivotal in providing comprehensive support to our Project Management team and corporate officers. In close collaboration with Project Managers and fellow administrative professionals, you will contribute to various tasks, including:
- Creating, drafting, and maintaining letters, emails, and faxes, including document scanning and attachment using MS Word.
- Developing and updating MS Excel spreadsheets, with a strong understanding of formulas.
- Handling the preparation, receipt, and transmittal of Drawings, Specifications, RFIs, and Submittals.
- Assisting in the preparation and distribution of OEM manuals.
- Managing Prime Contract requisition documents, including AIA G702/G703 in AIA electronic format, Starbuilder, and Excel-based spreadsheets.
- Maintaining Prime Contract change order logs and associated documentation.
- Participating in the preparation and review of subcontract agreements, including AIA Contract Documents software subcontract materials, requisitions, and change orders.
- Reviewing subcontractor invoices and ensuring reconciliation with committed costs (Contract and C/Os).
- Creating monthly subcontract cost spreadsheets and submitting owner requisition packages to accounting.
- Aiding in the preparation of prequalification statements, bid documents, and technical packages.
- Tackling ad hoc assignments as needed, including answering phones when required.
