Reports To: General Manager
Employee Duties: The Operations Manager is responsible for overseeing and managing the daily operations of the event and assisting the General Manager to ensure departmental efficiency, productivity, and overall organizational effectiveness. This role is vital in coordinating cross-functional teams, managing resources, optimizing processes, and maintaining quality standards. The Operations Manager will work closely with senior leadership to align operational goals with the company's strategic objectives.
Operations Management:
- Oversee day-to-day operations to ensure smooth and efficient business processes, specific to: Ticketing, General Event Operations and support to all departments
- Develop, implement, and monitor standard operating procedures (SOPs) to ensure high-quality and cost-effective operations.
- Monitor performance and set goals to drive operational efficiency and performance metrics.
- Manage supply chain, inventory, and logistics processes to minimize waste and improve cost control.
Team Leadership and Development:
- Supervise, mentor, and lead the operations team, including assigning tasks, providing training, and promoting professional development.
- Foster a positive work environment and build a collaborative team culture.
- Conduct regular performance reviews, providing feedback, and setting development goals for team members.
Process Improvement:
- Continuously analyze operational workflows and identify opportunities for process improvement.
- Implement process changes to improve quality, reduce inefficiencies, and increase productivity.
- Use data and performance analytics to recommend improvements to systems and processes.
Budget and Resource Management:
- Assist in the preparation and management of the operational budget.
- Monitor expenses and identify opportunities for cost reduction without compromising quality or service.
- Ensure adequate resource allocation and manage workforce requirements to meet operational demands.
Cross-functional Collaboration:
- Collaborate with other departments (e.g., exhibitor operations, sales, stage operations, volunteer operations, marketing, finance) to ensure alignment of operational activities with business objectives.
- Work closely with senior leadership to report on operational performance, challenges, and strategic opportunities.
Compliance and Quality Control:
- Ensure compliance with relevant industry regulations, safety standards, and company policies.
- Oversee quality control measures to maintain high standards of product / service delivery.
- Develop and enforce protocols for risk management and problem resolution.
Reporting and Analysis:
- Prepare regular operational reports for senior leadership, outlining key performance indicators (KPIs), progress on initiatives, and any issues that may need attention.
- Use data analytics and reporting tools to track operational performance, identify trends, and inform decision-making.
Customer Service and Satisfaction:
- Monitor customer service inquiries, feedback and refunds to ensure that operations are aligned to deliver a high level of customer satisfaction.
- Address operational concerns that may impact the customer experience and work towards resolutions in a timely manner.
Post-Event Evaluation:
- Assist with post-event evaluations and reporting to assess success and identify areas for improvement.
- Assist in creating and presentation of NW Tune-Up results to City and Tourism representatives.
- Analyze feedback from participants, staff, and sponsors.
- Use insights to enhance future events and overall company strategy.
Networking:
- Build and maintain relationships with key stakeholders in the community.
- Stay informed about industry trends and best practices.
Legal Compliance:
- Ensure compliance with relevant laws and regulations.
- Draft and review contracts, waivers, and other legal documents.
