Job purpose

The mission of the Tunnel to Towers Foundation is to honor the sacrifice of firefighter Stephen Siller who laid down his life to save others on September 11, 2001. We also honor our military and first responders who continue to make the supreme sacrifice of life and limb for our country. The Tunnel to Towers Foundation is committed to eradicating homelessness amongst our veterans.

The Administrative Assistant will play a vital role in facilitating, conducting, and documenting outreach efforts with the community and coordinating with other departments to support program initiatives. This role also involves tracking outcomes and updates across programs to compile progress reports for Directors’ decision-making.

Additionally, the Administrative Assistant will conduct research to support program development, provide administrative and logistical support to program operations, and assist in the design and editing of program documentation.

Applicants must demonstrate exceptional interpersonal and organizational skills, the ability to efficiently manage multiple tasks within tight deadlines, and a strong attention to detail. They should excel in prioritizing workloads effectively and possess the discretion and professionalism required to handle sensitive information with care. The role also requires participating in events and traveling to program sites in different states to ensure effective program coordination and outreach.

Duties and responsibilities

  • Track and report program outcomes and updates for the Directors’ review. Ensure the data is presented accurately and clearly for decision-making.
  • Conduct research to support the continuous development of program initiatives.
  • Proofread and copy-edit documents to ensure all written materials are error-free and adhere to organizational standards.
  • Conduct and track outreach with potential community stakeholders in a timely fashion.
  • Accurately record and prepare meeting minutes, ensuring all key discussion points, decisions, and action items are documented and distributed in a timely manner.
  • Perform essential administrative and clerical tasks to support program operations. Tasks may include, but are not limited to, data entry, correspondence, scheduling meetings and events, and record-keeping.
  • Leverage design expertise to create visually appealing presentations and materials, including brochures, graphics for workflows, and visual content for presentations, to enhance the professional appearance and functionality of site-related documents and workflows.
  • Communicate closely with other team members and departments to coordinate program initiatives.

Qualifications

  • Bachelor’s degree in Social Work, Human Services, Public Administration, or related field.
  • Minimum of 2 years in administration or related roles. Experience working with veterans or vulnerable populations is highly desirable.
  • Strong organizational and design skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in office software and program tracking systems supportive housing is a plus.

  • Proficient in Microsoft Office/ Google Suite (or equivalent)

Working conditions

Special working conditions may include: a change in days worked, shift hours, and/or working conditions (outdoors or other locations) when participating and assisting in special events needed.

Job Type: Full-time

Pay: $55,000.00 - $65,000.00 per year
