What are the responsibilities and job description for the Assistant Property Manager position at Tunnel To Towers Foundation?
The mission of the Tunnel to Towers Foundation is to honor the sacrifice of firefighter Stephen Siller who laid down his life to save others on September 11, 2001. We also honor our military and first responders who continue to make the supreme sacrifice of life and limb for our country.
The Assistant Property Manager will support the day to day operations of our staff and general building operations to ensure proper and safe conditions of the Foundations facilities.
Duties and responsibilities
- Proactively inspect the facility, systems room, common areas, etc. and report back any findings or issues to the Director.
- Clean and assist with upkeep of the facilities.
- Respond promptly to requests for building maintenance, repairs, cleaning needs etc. from building occupants and for any ongoing projects.
- Performs general repairs that do not require a specialized technician. Examples may include repairing doors and other building fixtures.
- Coordinate and oversee operations, maintenance, administration, and improvement of properties.
- Orders supplies and materials needed for repairs and maintenance.
- Oversee the timely and successful completion of maintenance requests.
- Oversees daily operations consisting of corrective and preventative maintenance for critical building systems.
- Expected to be thoroughly familiar with the management contract, vendor agreements, and other building contracts and all requirements therein.
- Compile information necessary to ensure all site specific documentation and reports are completed accurately and on time.
- Prepares budgets, financial reports (monthly and quarterly), contracts, expenditures and purchase orders related to the facility(s) as directed.
- Monitor and ensure that tenants and vendors comply with insurance requirements and coordinate all claims as required.
- Maintain records of maintenance, operating costs, and special permits issued.
- Ensure compliance with NYC codes, regulations, and governmental agency directives; ensure buildings are maintained for structural and aesthetic integrity.
- Participate in team meetings and ensure effective communication between tenants and property management team in order to achieve Foundation’s goals and objectives.
- Provide and foster positive relationships with tenants, hired contractors, and Foundation.
- Other duties as assigned by Director.
Qualifications
- 3 years of property management or related experience.
- Valid driver’s license.
- Extensive knowledge of building systems such as plumbing, electrical and HVAC.
- Knowledge of general carpentry and repair.
- Ability to use hand tools and power tools.
- Ability to move equipment weighing up to 50 pounds.
- Ability to position self to install equipment, including under desks and tight spaces.
- Ability to plan maintenance schedules for building systems.
- Ability to effectively manage contractors, hired workers, and vendors.
- Ability to analyze, prioritize, and delegate tasks.
- Advanced knowledge of Microsoft Office Suite.
- Communication Proficiency (oral and written).
- Excellent organizational and time management skills.
Working conditions
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee may need to travel from floor to floor, climb stairs, and may be required to travel outside between buildings in varying outdoor weather conditions.
Special Working conditions may include: a change in days worked, shift hours, and/or working conditions (outdoors or other locations). May also be asked to participate and assist in special events such as: NYC Tunnel to Towers Run, golf outings, and other fundraising events, as required.
