What are the responsibilities and job description for the Coordinator, National Golf Series position at Tunnel To Towers Foundation?
The mission of the Tunnel to Towers Foundation is to honor the sacrifice of firefighter Stephen Siller who laid down his life to save others on September 11, 2001. We also honor our military and first responders who continue to make the supreme sacrifice of life and limb for our country.
The Associate will assist the T2T National Golf Series team with planning, coordinating and executing events designed to promote community awareness about the Tunnel to Towers Foundation and to help raise funds to support our mission.
Duties and responsibilities
- Serve in an administrative role for theT2T National Golf Series.
- Maintain relationships with numerous vendors, third parties, and volunteers.
- Steward relationships with third-party Directors to ensure they have the resources for successful events.
- Attend golf meetings to support Directors and keep detailed notes to update the golf team.
- Manage a small number of golf tournament fundraisers as the primary contact for vendors, golf directors and volunteers.
- Assists with planning, implementation, and production of all golf fundraising events, including vendor relationships, budgets, and event logistics.
- Create and adhere to timelines to ensure all golf tournaments receive their material on time.
- Develop individual budgets for each golf tournament.
- Work with our legal, finance, and marketing departments to ensure the success of your tournaments and third parties.
- Maintain relationships with event chairs and related committees.
- Keep an accurate inventory of all our golf items in the office.
- Work with golf directors, third parties, and vendors to mail or ship in-house material in a timely manner.
- Responsible for writing acknowledgment and thank you letters and assembling donor solicitation packets.
- Provide administrative support, including following up on communication and support for a variety of golf tournaments held across the country.
- Positively represent the Tunnel to Towers Foundation at all times, including when working with staff, volunteers, and others.
- Assists Manager with external and internal audiences, including vendors and donors, when requested.
Assists in performing regular administrative duties in a timely and efficient manner, including recording and tracking donor contracts and payments and reviewing and submitting event-related invoices for payment.
- Researching monetary and in-kind funding sources, writing solicitation letters, and executing mass mailings.
- Responsible for overseeing third parties who reach out to the Foundation for additional golf tournaments and other such activities.
Qualifications
- Bachelor’s degree preferred.
- Minimum 3 years of administrative support.
- Experience in event planning, volunteer coordination, or related fields is a plus.
- Ability to relate well and work effectively in diverse situations.
- Highly organized and detail-oriented to manage event timelines and marketing processes.
- Strong organizational and time management skills.
- Excellent written and verbal communication abilities.
- Ability to work flexible hours, including weekends, for events.
- Attention to detail and problem-solving skills.
- Team player with a proactive attitude.
- Passion for the mission of the Tunnel to Towers Foundation.
- Ability to multitask and prioritize in a fast-paced environment.
- Proficiency in Microsoft Office, Google Suite, and event registration and fundraising platforms.
Working conditions
Special Working conditions will include: a change in days worked, shift hours, and/or working conditions (outdoors or other locations) when participating and assisting in special events such as: NYC Tunnel to Towers Run, golf outings, and other fundraising events, as required.

Pay: $55,000.00 - $65,000.00 per year
