POSITION: EXECUTIVE ADMINISTRATIVE ANALYST (Confidential)
DEFINITION:
Under the direction of the County Superintendent, performs a wide variety of complex programs; acts as supporting the County Superintendent with administrative and technical projects; serves as the initial contact for public relations and does related work as required. The Executive Administrative Analyst will develop and disseminate information regarding Tuolumne County Superintendent of Schools (TCSOS) news, communications, and publications. Provide accurate and timely information to the TCSOS staff, school districts, news media, business community, and the general public regarding TCSOS programs.
ESSENTIAL FUNCTIONS:
- Maintains a calendar of activities and events, schedules appointments, conferences, meetings, and makes travel arrangements for the County Superintendent.
- Under direction of County Superintendent, prepares agendas and supporting information for board meetings, school district organization meetings, charter board meetings, superintendent meetings, administrative meetings, and foundation meetings.
- Gathers, reviews, and compiles information, and prepares accurate and comprehensive reports and surveys.
- Assists County Superintendent in tasks related to state-wide organizations, including California County Superintendents Educational Services Association, California School Boards Association, and Association of California School Administrators.
- Meets schedules and timelines.
- Maintains strict confidentiality on all job-related matters.
- Attends to program details utilizing initiative, problem analysis techniques, and good judgment.
- Prepares a variety of communicative subject matter that may include privileged and highly sensitive material.
- Work effectively with school districts, community organizations, government agencies, parents, students, and/or staff.
- Maintain current knowledge and interpret applicable rules, regulations, policies, procedures, contracts, State and Federal laws, codes and regulations.
- Communicate effectively both orally and in writing.
- Analyze situations accurately and adopt an effective course of action.
- Work independently with little direction.
- Work with the Superintendent and the Director II, Innovation Technology to develop and maintain communication with social media, e-newsletters, etc.
- Establish and maintain cooperative and effective working relationships with others, including, local media, maintain media contact lists, assist the press with developing stories, and organize media visits when necessary.
- Maintain and distribute current listing(s) of upcoming events within and outside TCSOS for distribution to employees, staff, news media, local and state agencies, and educational institutions.
- Conduct research, analyze data, and prepare and maintain a variety of complex reports
- Compose correspondence as assigned.
- Coordinate meeting schedules, prepare agendas, take minutes, and follow-up after meetings to ensure necessary actions are initiated.
- Maintain a variety of manual and electronic documents, files and records.
- Understand procedures and regulations and articulate County Board Policies.
- Navigate, understand and update GAMUT, policy platform.
- Effectively communicate with County Board members, administrators, staff, and members of the public.
- Attend and support board meetings, operate audio/video systems for livestreaming and recording, ensure accessibility and legal compliance (ADA..)
- Post meeting notices and agendas according to legal guidelines.
- Coordinate with departments and districts to gather reports and documentation.
- Provide administrative support, filing, typing, collating, copying, answering phones and providing information.
- Coordinate special events, meals, programs and communication for the organization.
- Gather annual report information and provide final content for publication.
- Compose parent/staff/board messages and disseminate as directed by the Superintendent.
- Monitor website, keep up to date in coordination with Director II, Innovation Technology.
- Create content for Social Media and TCSOS information.
- Maintain travel portfolios for Superintendent.
- All other duties as assigned.
KNOWLEDGE:
- Understanding of education law, board bylaws, and the Brown Act
- Familiar with Robert’s Rules of Order
- Administrative office practices and procedures
- Correct grammar, spelling, punctuation, document construction and editing
- Application of principles and practices of research, analysis and project planning.
SKILLS AND ABILITIES:
- Possess advanced computer and typing/word processing skills.
- Ability to carry out complex oral and written directions

QUALIFICATIONS, EDUCATION, TRAINING AND/OR EXPERIENCE:
Any combination equivalent to: Bachelor of Arts or Science and two years of experience in a Governmental Agency. Work experience in the public education system (District or County Office of Education) and knowledge of the California Education Code desirable. One year of additional increasingly responsible and relevant experience may be substituted for one year of work in private industry.
PHYSICAL REQUIREMENTS:
Employees in this position must have the ability to:
1. Sit and stand for extended periods of time.
2. Enter data into a computer, operate standard office equipment and use the telephone.
3. Stand, walk, and bend over, reach overhead, grasp, push, pull and move, lift and/or carry up to 25 pounds to waist height.
4. Work evenings and adjust work schedule during board meetings
5. Dexterity of hands and fingers to operate keyboard
6. Seeing to read a variety of materials
7. Bending at the waist, kneeling or crouching to file materials
8. Must be able to work indoors and outdoors in an educational and standard environment.
9. Must be able to come in director contact with students, parents, staff, outside agencies, and the public
Job Type: Full-time
Pay: $32.35 - $45.46 per hour
