Position Summary:

If so, we want you to join our team as an Executive Secretary & Administrative Powerhouse!

This role is more than just answering phones and filing papers. You'll be the backbone of our operations, providing critical support in bookkeeping, customer service, and data management. We're looking for someone who takes initiative, anticipates needs, and consistently goes above and beyond to ensure smooth and efficient operations.

Key Responsibilities:

  • Executive Support:
  • Manage calendars, schedule appointments, and coordinate meetings.
  • Prepare and organize documents, reports, and presentations.
  • Handle confidential information with discretion and professionalism.
  • Bookkeeping & Financial Administration:
  • Assist with accounts payable and receivable.
  • Maintain accurate financial records and prepare basic financial reports.
  • Process invoices, payments, and expense reports.
  • Customer Service Excellence:
  • Serve as the first point of contact for customers, providing prompt and courteous service.
  • Address customer inquiries, resolve issues, and ensure customer satisfaction.
  • Manage customer communications via phone, email, and in-person interactions.
  • Data Entry & Management:
  • Accurately enter and maintain customer data, project information, and financial records.
  • Generate reports and analyze data to identify trends and insights.
  • Maintain organized and up-to-date filing systems.
  • Administrative Operations:
  • Manage office supplies and equipment.
  • Coordinate office maintenance and repairs.
  • Assist with special projects and other administrative tasks as needed.

Qualifications:

  • Proven experience in an administrative or executive support role.
  • Strong bookkeeping skills and experience with basic financial tasks.
  • Exceptional customer service and communication skills.
  • Proficiency in Microsoft Office Suite and Google Suite.
  • Excellent data entry skills with a high degree of accuracy.
  • Strong organizational and time-management skills.
  • Ability to work independently and as part of a team.
  • Proactive problem-solving skills and a strong work ethic.
  • Ability to maintain confidentiality and handle sensitive information.
