Job Summary:
The Accounts Specialist/Support plays a crucial role in ensuring the smooth operation of the office and supporting the efficiency of the sales team at TurfPros Distributors and Green Tech Designs. This multifaceted role includes customer service, financial administration, inventory management, and assisting with software and technology implementation.
Responsibilities:
- Customer Service & Sales Support:
- Handle incoming calls and walk-in customers, providing information and directing inquiries.
- Assist sales team by generating quotes, processing orders, and managing customer inquiries.
- Manage customer documentation, including waivers and authorization forms.
- Coordinate office activities such as estimates, deliveries, and installations.
- Financial & Administrative Support:
- Close daily registers, organize transactions, and prepare deposits.
- Review and close invoices for accuracy.
- Oversee vendor and subcontractor payments, ensuring timely and accurate transactions.
- Create purchase orders, receive merchandise, and maintain inventory levels.
- Establish and maintain customer profiles, vendor records, and tax-exempt documentation.
- Inventory Management & Claims:
- Maintain accurate inventory records and coordinate with inventory personnel.
- Track incoming shipments and address discrepancies in inventory.
- Process intra-warehouse transfers and assist with claims and communications with manufacturers.
- Research & Technology Utilization:
- Research and evaluate software applications to improve operational efficiency.
- Lead the implementation of new systems and provide training and support.
- Identify potential new vendors to expand the company’s product offerings.
- General Duties & Communication:
- Collaborate with marketing teams on company initiatives and campaigns.
- Communicate effectively across departments and document relevant actions and needs.
- Handle confidential information with discretion and perform other duties as required.
Qualifications:
- Strong organizational and multitasking abilities.
- Proficient in Microsoft Office Suite and CRM software.
- Excellent communication skills, both written and verbal.
- Attention to detail with documentation, invoices, and orders.
