Role Overview: We are seeking a dedicated and ministry-minded Office Manager to join our team. This individual will play a crucial role in ensuring the smooth operation of our office, supporting our mission to provide high-quality counseling services.
Office Manager Responsibilities & Duties:
- Answering Phones and emailing – Answer new client inquiries and answer questions and guide through intake process. Speak with current clients and book/cancel their appointments for them
- Receiving payments
- Manage therapists administratively
- Creates & edits company forms and paperwork as needed
- Leads Monthly Staff Meetings
- Creates end-of-month reports using TPC Database & MS Excel
- Write Quarterly Reports for each therapist detailing their performance
- Manages therapists' weekly & monthly earnings
- Manages hiring and supervises undergraduate student interns each semester
- Posts positions for hiring therapists to grad schools and Indeed
- Facilitates new hiring process for therapists
- Facilitates new hire orientation and training therapist
- Facilitates termination process for therapists
- Responsible for closing closed client files
- Keeping up with industry standards
- Managing office supplies needs
- Manages company website
- Assist in preparing the annual board meeting

- Customer Service
- Phone Experience
- Microsoft Office Products: Word, Excel, Outlook
- Experience with Adobe: Creating fillable forms and editing
- Ability to work independently and motivate self.
- Management, training, and leading staff meetings
- Highly organized and detailed
- Ability to task switch and adhere to a deadline
- Problem solving skills. Ability to learn on the job and make important decisions.:
