As a Licensing Specialist, you’ll play a vital role in supporting new hires by ensuring background checks, gaming licenses, fingerprinting, and drug testing are completed efficiently and accurately. You'll handle timely submissions and facilitate a smooth transition to onboarding while serving as an Enrollment Agent for Idemia.

What does a Licensing Specialist do?                           

  • Processing of all hires ensuring a welcoming and positive experience.
  • Ability to handle difficult conversations with tact and confidentiality with hires during the licensing process as it relates to disclosing sensitive information.
  • Effectively administers New York State Gaming Commission and Oneida Indian Nation Gaming Commission Licensing programs, including the proper and timely processing of all required documents.
  • Works cooperatively with New York State Gaming Commission, Oneida Indian Nation Gaming Commission, New York State Police and the Oneida Indian Nation Police.
  • Works with Licensing & Onboarding Manager and the OINGC to ensure the timely scheduling of and processing of Renewals for current team members.
  • Preparing all required tracking of backgrounds; TC’s, Pack list, Badge to Go.
  • Ensures all Class III Organizational changes are processed appropriately with the Gaming Commission to ensure appropriate Classification and Access Codes are issued. 
  • Timely updates of newly created positions and/or title changes in the master compendium and Lenel.
  • Timely and accurately performs all steps related to Class II Gaming License submissions. Class II Gaming License Applications tracking and submittal. Works closely with OINPD to ensure Fingerprint cards are submitted to the NIGC timely. 
  • Processes all Driver’s Abstracts with the DMV and maintains accurate records for all required driving roles. Ensuring we are meeting requirements for the Department of Transportation (DOT).
  • Ensures all Class III reports provided by HRIS are processed appropriately and timely to the New York State Gaming Commission and Oneida Indian Nation Gaming Commission. Weekly reports are: New Hire, Personnel Changes, Transfer.  Bi-weekly report is the Termination report.   Back up to the Senior Licensing Specialist.
  • Ensures all Class II reports provided by HRIS are processed appropriately and timely to the Oneida Indian Nation Gaming
  • Accurately performs drug testing and ensuring samples are processed via FedEx same day.
  • Reviews drug test results and updates recruiting team as needed with regard to follow up actions required.
  • Updates drug test log with results and additional tracking / spreadsheets.
  • Updates the TA processing spreadsheet with all Licensing approvals, drug test results and clears hires for next steps.
  • Accurately prepares and releases all new & replacement team member badges and nameplates.
  • Accurately inputs Licensing Data into HCM and maintains complete files to ensure proper team member licensure.
  • Accurately and effectively performs electronic fingerprinting process. Stays up to date on all required Idemia training to ensure no disruption to certification requirements.
  • Completes general clerical duties and accepts responsibility for keeping up with scanning and filing a high volume of documents in paper form and electronically to ensure accurate records are maintained for each team member.
  • Responsible for problem resolution and where needed, escalation.
  • Maintains thorough records for Class II and Class III Gaming Investigations including records of submittal and receipt of results using excel spreadsheets.
  • Adhere to organizational and department-specific confidentiality, policies, and standards.
  • Tracking / documenting of each item notarized daily.

 

Key attributes we're seeking as a Licensing Specialist are:

  • Associate’s Degree or Certificate in business or related field.
  • 1 – 3 years of experience working in a role that requires exceptional attention to detail and impeccable organizational skills.
  • Prior experience working in a role that requires high volume of document reviewing, heavy data entry, updating and maintaining records.
  • Experience working with scanning high volume of documents. Knowledge of various office equipment.
  • Successful completion of the vetting process through Idemia to be certified to fingerprint. To be considered and maintain employment in this role, this certification will need to take place within 60 days of date of hire.
  • Demonstrated proficiency using Microsoft Office with strong data entry/data manipulation skills in Excel.
  • Notary Public or ability to obtain Notary license within 6 months of hire.
  • Excellent verbal and written communication skills.
  • Ability to prioritize and balance multiple tasks at one time.
  • Friendly and calm demeanor with the ability to communicate with the public.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Positivity coupled with a strong professional presence and business acumen.
  • Integrity and the ability to manage confidential information with a high level of discretion.
  • Ability to stand/walk for long periods of time and lift up to 31 - 40 pounds.
