Juniata County Head Start - Main Juniata County Early Childhood Services invites applicants for a full-time Data Specialist.
Primary role is to assist with data entry for assigned services areas, assist with the daily operations of the office and program, assist with technology and other inventory, assist with the program's Standard Response Protocols
SRP) and other emergency coordination, ensure program supplies are adequate by organizing and ordering as needed, answer phones and sort mail as needed. The Data Specialist will work closely with managers to ensure office and program needs are met in a timely and effect manner.
Fundamental Duties / Essential Functions
1. Assist the Director, Senior Managers, and FCE Coordinator with operational, logistical, and building tasks.
2. Enter data into agency databases and communicate with staff on related issues.
3. Compile, analyze data, and generate reports regarding PAT program such as attendance, enrollments, performance measures, and maintain records / files and documentation.
4. Complete account coding and ordering for PAT program and others as deemed necessary, including purchase orders. Check incoming orders. Check invoices and follow-up on orders.
5. Maintain technology and other inventory.
6. Maintain data and manage ongoing pest control services.
7. Assist with program's Standard Response Protocols (SRP) and other emergency coordination.
8. Participate in program's PAW Bucks incentive system tasks as assigned.
9. Support recruitment / enrollment efforts and follow up as assigned by managers.
10. Assist all families with the application process for services for all programs.
11. Set up equipment, prepare materials for meetings, instruction, and training.
12. Organize and keep meeting and training agendas, minutes, and sign-in sheets for the program.
13. Provide clerical support to managers, staff, and programs.
14. Act as receptionist for families, staff, and guests, including receiving and processing mail, phone calls and messages.
15. Schedule and confirm appointments.
16. Send out program updates and information on a regular basis to all staff.
17. Assist in maintaining a program calendar listing activities and functions for Head Start / Early Head Start / Pre-K / PAT management staff.
18. Type letters and responses to families and businesses as required.
19. Duplicate materials. Collate and bind booklets.
20. Arrange for repair and maintenance of copier and other equipment as needed. Set up equipment as needed.
21. Prepare and type specific forms as required by the Head Start / Early Head Start / Pre-K / PAT programs. Maintain on Google Drive or other shared drives for agency.
22. Submit PR materials to local media as scheduled.
23. Lift, move, carry and otherwise transport supplies and office equipment within office and to meeting locations
24. Perform other duties as assigned by the program operations manager or program director.
Required Knowledge, Skills and Abilities
1. Ability to orally communicate effectively in English with others in all levels of group and individual contacts.
2. Ability to communicate effectively in writing, using the English language.
3. Ability to use technology for client and program recordkeeping.
4. Ability to work positively with other staff and clients to enhance team effort in producing effective services.
5. Willingness to work flexible hours including evenings and weekends as necessary.
6. Ability to work independently with good time management skills.
7. Ability to lift and carry equipment and supplies up to 50 pounds.
8. Ability to perform with efficiency and high level of accuracy in all office procedures.
9. Ability to present ideas logically in writing including good proofreading, spelling and written grammar skills.
10. Ability to type proficiently using a typewriter and a computer word processor.
11. Ability to operate copier and calculator in a proficient manner.
12. Ability to present oneself in a business-like manner to include personal appearance and a pleasant demeanor to others.
Education and Experience
1. Must have high school diploma or GED, experience in data entry / secretarial work is preferred.
2. Must be willing and able to obtain Basic First Aid and CPR Certification and maintain certification.
3. The program will verify references and complete a sex offender registry check. An initial health exam with acceptable tuberculosis screening results, a clear criminal records, FBI, and Child Abuse clearances check. These are required post job offer and prior to employment.
4. Current and former Head Start / Early Head Start parents will receive preference for employment vacancies for which they are qualified.
Physical Demands and Working Conditions
1. Requires riding in all weather conditions including rain, snow, ice, wind, heat, etc.
2. May be required to lift up to 45 pounds.
3. Some exposure to communicable diseases.
4. Noise level in work environment may be moderate to loud.
5. Work is typically performed in an office space that has frequent visitors.
6. Some evenings and weekend work may occasionally be required for events such as Family Curriculum Nights, community and social events.
