Twin Med, LLC. is currently searching for a Administrative Assistant in our Distribution Center located in Santa Fe Springs, California. The successful applicant must be able to provide high level administrative support involving managing schedules, coordinating communications and facilitating smooth operations.
Responsibilities
· Provides high-level administrative support and assistance to the CEO, CFO and/or other assigned Executive Staff.
· Serves as the primary point of contact for internal and external communications managing emails, calls, and visitors for the CEO, CFO and/or other assigned Executive Staff.
· Prepares agendas, takes notes, and follow up on all actionable items.
· Coordinates teavel arrangements.
· Assists with Powerpoint presentations.
· Assist with special projects including conducting research and preparing reports
· Perform general administrative duties like data entry, maintaining a well-equipped office, and filing.
· Organizes and orders lunches coordinating the specific time and locations.
· Assist Human Resources as needed.
· Performs other duties as assigned.
Requirements
· Excellent verbal and written communication skills.
· Excellent organizational skills and attention to detail.
· Excellent time management skills with a proven ability to meet deadlines.
· Ability to function well in a high-paced environment.
· Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
· Manage and maintain sensitive, proprietary, and confidential information, which requires a high level of discretion and ensuring it is handled securely and in compliance with the organization's policies and procedures.
· Able to type minimum of 60 words per minute.
· Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software. (Excel, Word, Powepoint, Outlook, Outlook Calendar, TEAMS)
· Extremely proficient with CONCUR for travel arrangements and expenses.
· Bachelor’s degree in Business Administration or related field preferred.
· At least five years of related experience required.
Physical Requirements
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at a time.
Must pass a pre-employment background and drug screening.
