Position Overview

The Sales & Marketing Administrator (SMA) plays a critical role in ensuring the effective processing and management of Marketing Captured Leads (MCLs) in a systematic and strategic manner. This role requires collaboration with various Sales and Marketing stakeholders to facilitate outreach, conduct outbound calls and emails, drive event attendance, enrich leads through research, and support other Sales and marketing initiatives. Additionally, the SMA supports the process of managing Current Customer MCLs through the Sales pipeline, ensuring timely follow-up and strategic engagement. Success in this position is measured by efficiency in task completion, lead management, database accuracy, and the ability to juggle multiple projects and deadlines effectively. The SMA reports to the Inside Sales Manager and does also associate with Marketing.

Requirements

  • Bachelor’s degree preferred, or equivalent combination of education, training, and experience.
  • Strong Sales and communication skills—both verbal and written—with the ability to overcome technical and business objections.
  • Self-motivated, results-driven, and proactive in solving problems.
  • Strong organizational and time management skills with the ability to prioritize effectively.
  • Ability to manage high volumes of data with accuracy and efficiency.
  • A natural curiosity and continuous learning mindset to refine processes and stay ahead of industry trends.
  • Comfort with technology, including CRM (NetSuite) and Sales Engagement tools (SalesLoft, ZoomInfo, LinkedIn Sales Navigator, etc.).
  • Ability to collaborate across departments and contribute to a team-oriented culture.
  • A growth mindset and adaptability in a fast-paced, evolving Sales and marketing environment.

Essential Functions

  • Act as a key internal connector between Sales and marketing, ensuring seamless lead handoffs and strategic follow-up.
  • Engage with leads that have interacted with marketing campaigns, nurturing them through calls, emails, and other outreach methods.
  • Research, enrich, and update lead data to optimize outreach and marketing effectiveness.
  • Strategically schedule and confirm attendance for company-hosted events, webinars, and industry trade shows.
  • Utilize active listening and critical thinking to understand prospect needs and align them with company solutions.
  • Maintain accurate and up-to-date records in NetSuite, capturing valuable insights from prospect interactions.
  • Support continuous improvement initiatives by analyzing outreach performance and providing recommendations.
  • Make 40-50 daily outbound calls combined with email follow-ups.
  • Work closely with the Sales team to support the pipeline process by ensuring timely follow-up on Current Customer MCLs and tracking engagement effectiveness.
  • Gain a foundational understanding of the AEC (Architecture, Engineering, and Construction) industry, including key business practices and trends.
  • Participate in ongoing training and professional development to enhance Sales and Marketing skills.
  • Contribute to a collaborative and supportive team environment that values integrity, accountability, and innovation.
  • Perform additional duties as required to support Sales and Marketing operations.
  • 30 / 60 / 90 Day Plan First 30 Days :

  • Engage in comprehensive training led by teammates on the SMA team, covering company solutions, industry landscape, and internal processes.
  • Shadow team members and participate in ole-playing exercises to develop confidence in outreach efforts.
  • Begin making calls to existing customers to build comfort with phone engagement.
  • Work closely with Inside Sales / BDR teams and Marketing to support lead distribution and qualification efforts.
  • Learn and contribute to the process of tracking and managing Current Customer MCLs through the pipeline.
  • Days 31-60 :

  • Expand outreach efforts to both existing and prospective customers in assigned territories.
  • Actively contribute to refining outreach scripts and messaging based on real-world interactions.
  • Take ownership of lead research and data enrichment to enhance prospect insights.
  • Increase involvement in Sales pipeline management by tracking and supporting Current Customer MCLs.
  • Continue collaborating with the BDR team to align outreach strategies and share insights.
  • Days 61-90 :

  • Demonstrate proficiency in outbound communication strategies and drive meaningful prospect engagements.
  • Collaborate with Sales and Marketing leadership to optimize lead management processes.
  • Provide feedback and insights to enhance future campaigns and outreach strategies.
  • Establish a consistent rhythm in managing leads, event follow-ups, and data accuracy.
  • Play an active role in supporting the Sales process, ensuring that Current Customer MCLs progress through the pipeline efficiently.
