We foster an inclusive culture and are looking for diverse, talented people to join Alcon. As an Executive Administrative Assistant, you will be supporting the R&D Pharma Research team and senior management at the Triangle Park (RTP) Site.
In this role a typical day will include :
Entering and coordinating the processing of contracts, including confidentiality agreements, master service agreements and statements of work using Alcon’s contract management software.
Preparing, updating and closing out purchase orders; reconciliation of invoices and receipts.
Maintaining stock room for lab supplies and ordering lab supplies as needed. Ordering office supplies and maintaining office supply cabinets.
Coordination of meetings, calendars, and activities for senior leaders. Assisting with coordination of on-site and off-site events.
Responsible for arranging business travel and expense reports for senior leaders.
General office support, including mail, deliveries, visitors, and onboarding new employees. Provides backup support to Site Facilities Manager when needed.
Advising and supporting the local Employee Engagement Council and a member of the RTP Site Leadership Team.
Being a Member of R&D administrative assistant network and know where to go for assistance when needed.
WHAT YOU’LL BRING TO ALCON :
High School Diploma or equivalent.
The ability to fluently read, write, understand and communicate in English.
3 Years of relevant experience in a comparable role.
PREFERRED QUALIFICATIONS :
Excellent written and verbal communication skills along with strong interpersonal skills.
Thorough knowledge of company operations, policies and procedures. May handle details of a highly confidential nature.
Thorough knowledge and understanding of Microsoft Office software (Word, Excel, Outlook, PowerPoint).
Working knowledge of enterprise software for purchasing, travel & expense reporting, and contract management, such as SAP, Concur and Icertis.
Experience with basic bookkeeping tasks to support the financial operations of the site (i.e., handling POs, invoicing, coordination with Finance, etc.).
Ability to be flexible, proactive, organized and able to practice excellent prioritization to maximize efficiency.
